This position blends operations, coordination, and administrative support to ensure team priorities, timelines, and engagements run seamlessly across a global stakeholder group.This is a high-impact role requiring sound judgment, discretion, and the ability to identify synergies across initiatives. You’ll serve as a central hub for coordination—helping the team stay focused, connected, and on track in a fast-paced, evolving environment.Key ResponsibilitiesTeam Operations & CoordinationServe as a central coordinator for Brand team operations, ensuring alignment across priorities, timelines, and deliverablesManage and coordinate complex calendars across multiple time zonesSupport prioritization and workflow tracking to keep initiatives moving forwardMaintain organization of key documents, timelines, and team resourcesMeetings, Planning & EngagementPlan, organize, and execute complex meetings (including QBRs, leadership reviews, and team sessions)Coordinate logistics including scheduling, agendas, materials, venues, and technologyProvide day-of-meeting support and ensure seamless executionFacilitate coordination of forward-looking plans, including QBR follow-ups and cross-team action trackingHelp drive team engagement by supporting offsites, team events, and recognition momentsAI Enablement & Operational InnovationFacilitate and coordinate the development of a forward-looking plan to adopt and optimize AI across the Brand organizationPartner with cross-functional stakeholders to identify opportunities for AI-driven efficiencies and enhanced workflowsTrack progress of AI-related initiatives and ensure alignment with broader brand prioritiesSupport change management efforts by helping document processes, share best practices, and drive adoptionAdministrative & Operational SupportOversee procurement and scope of work (SOW) support across vendorsManage global travel arrangements and prepare detailed itinerariesHandle expense reporting and monthly reconciliation of credit card statementsSupport budget tracking, timelines, and documentationAssist with onboarding coordination and team-wide processesCross-Functional CollaborationPartner with internal stakeholders including Legal, HR, Finance, and leadership teams to support team and organizational goalsBuild strong relationships across all levels of the organizationIdentify opportunities for improved coordination and operational efficiencyWhat You’ll Bring:Exceptional organizational and time management skills with strong attention to detailAbility to prioritize and manage multiple assignments with minimal oversightStrong judgment and ability to handle sensitive and confidential information with discretionExcellent written and verbal communication skillsHigh level of professionalism and a customer-service mindsetAbility to remain calm, adaptable, and solutions-oriented in a fast-paced, ambiguous environmentStrong interpersonal skills with the ability to build trust and collaborate effectivelyProficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Adobe AcrobatComfort with emerging technologies and interest in leveraging AI to improve workflows and team effectivenessAbility to work both independently and as part of a teamSuccess in This Role:You thrive in high-stakes environments and take pride in delivering world-class execution. Actual salaries will vary depending on a candidate’s experience, qualifications, skills, and location.
