As a member of the Real Estate & Development (RE&D) field team you will be able to operate as a true partner to local business leaders, finance, HR, IT and other functional areas. You will simultaneously act as an internal ambassador, educator, analyst, solutions architect, and implementer. Having passion and in-depth knowledge of Property Management, FM Operations, with a financial focus, is essential.
The Facilities Coordinator will be directly responsible for achieving timely and effective delivery of Front-of-House (FOH) services to external and internal Customers in accordance with their Roles & Responsibilities set out below.
You have to be proficient in Customer Care, having the highest regard for providing the best customer experience as well be knowledgeable in Facilities Coordinator related activities. This role may include assisting other Facilities staff with overflow work, including research, data entry and related tasks.
- Handle and transfer all incoming telephone calls to the proper individual or provide information and/or take messages, whenever the situation is deemed necessary
- Receive all incoming guests/visitors/clients courteously and accurately
- Coordinate with vendors and building property management office for small repair issues such as air condition system problem, door lock problem or as directed by supervisor
- Coordinate with day porters for office cleaning and other related tasks
- Order general office suppliers, snacks, beverages, planting, etc...
- Order name plate for employees
- Collect and mail documents to the team
- Prepare stationery & necessary facilities for new hire
- Print facility signage regularly or upon request
- Lead access control system/cards
- Provide necessary reports to supervisor
- Lead hectic conference room calendars
- Prepare proposals and purchase requisitions
- Oversee both domestic and international travel shipments
- Organize space planning and large offsite events
- General office duties as needed
- Build and support cross-functional relationships between departments
- Lead on-site events as requested
- Ensuring all meeting rooms are well-kept and maintained
- Assist in set up for meeting rooms for business needs
- Ensure Reception area’s well maintained
May perform other activities such as audio-visual meetings or conferences, inter-office mail deliveries, waste paper recycling, and stocking of employee break areas.
