What we’re looking for:
We are seeking a detail-oriented and proactive individual to join our team as an Administrative Coordinator. This role is maternity cover for a period of 6 months and this individual will be responsible for various administrative tasks to ensure the smooth functioning of our workplace.
The ideal candidate should have excellent organizational skills, attention to detail, strong communication abilities, and be able to multitask effectively while maintaining a positive attitude.
Top responsibilities:
Appointment and Meeting Coordination: Efficiently schedule and organize appointments and meetings, ensuring all necessary arrangements are made.
Workplace Maintenance: Take charge of maintaining general workplace tidiness and supervise the performance of our cleaning staff.
Workplace Conditions Monitoring: Regularly monitor and maintain the overall workplace conditions, addressing any maintenance issues promptly.
Office Supplies Management: Take ownership of ordering and replenishing office supplies and pantry items to ensure smooth operations.
Invoice Processing: Upload all invoices into the database accurately, ensuring timely processing in collaboration with relevant teams.
Communication Handling: Receive, distribute, and dispatch communication, packages, and correspondence as required within the organization.
Team Building Support: Coordinate or assist in organizing internal team building activities and events to foster a positive work environment.
Travel Support: Provide support in making travel arrangements including bookings for accommodations when required by team members or executives.
Budget Tracking: Assist in tracking expenses against budget allocations to ensure financial accountability within designated areas of responsibility.
Ad-hoc Collaboration: Collaborate with other offices within Europe on ad-hoc projects or tasks as needed to support cross-functional initiatives.
