Our People Operations Coordinator will play a critical role in fulfilling the People Operations Team’s mission to design, continually develop, and reliably deliver People programs, processes, and systems that help grow our business at scale for EMEA - which is crucial because we’re scaling fast ! This role helps shape the employee experience for all Boxers by providing efficient world-class service and the thoughtful curation of moments-that-matter in our Boxers’ lives. The People Operations Coordinator will have knowledge and experience across the key functional HR areas whilst being a culture champion as we continue to grow our community in Warsaw.
This role will report to the Team Manager, People Operations - EMEA with additional support and partnership with the global People & Places team.
What you'll do:
Take ownership and provide administrative support over new hire system & process Onboarding for EMEA in order to enhance the Boxer experience and help them feel supported from Day 1, including administering pre-hire medical checks and leading communication with new joiners and co-ordination of our EMEA new hire orientation programme
Help drive critical work in our EMEA Immigration program; collaborate with our internal immigration program leader, as well as external immigration counsel to support our Boxers
Lead operational support efforts for internal mobility and Boxer changes -- from our People ticketing system (ServiceDesk) and HRIS (Workday) to contract and offer letter generation
Be the point of contact for departing Boxers to ensure that they have everything they need to be successful on the next step of their journey
Provide top-notch administrative support for Boxers and the rest of the People team, taking the lead on People ticketing system (ServiceDesk) queries and escalating to the appropriate groups if necessary
Complete data entry and auditing in HRIS (Workday) and other systems with a high degree of accuracy for all people processes (from onboarding to exit)
Manage employee files and maintain necessary documentation
Ensure the People Team’s compliance to local market employment requirements (including right to work checks, background checks, etc) and be on hand to support external audits, as required
Support as required in management of the Labour Relations for the Warsaw office
Be a trusted partner to People Ops’ global key stakeholders (Payroll, People Partners, Benefits, Recruiting) to ensure smooth and consistent processes
Work on ad-hoc People Operations projects as assigned by the team that improve the employee / manager experience and support scale, as well as further your own development!
Who you are:
Required Skills
Local knowledge: Experience/knowledge of local employment practices within Poland
Process design & ownership: demonstrate proactive ownership by offering innovative and constructive ideas to further our team's success
Attention to detail: produce consistent and accurate deliverables while dealing with a high volume of data & information
Discretion : operate with discretion, integrity, and respect with engaging with sensitive issues or information
Adaptability : quickly analyze, understand, and adapt to new situations and business problems
Collaboration : Proven track record of building strong relationships with cross-functional partners and stakeholders across different regions and time zones
Systems aptitude: Willingness to learn new technologies (i.e. ServiceDesk, Box for HR)
Languages : You have fluency in both spoken and written English and Polish
Preferred Skills
Experience in Workday and with HRIS transactions
