This role will report to the Director of Business Operations and will manage operational and administrative tasks to ensure the OCEO runs smoothly— from handling weekly C-level meetings and quarterly off-sites, creating strategic agendas, developing the corporate calendar, collaborating closely across the organization with Sr Executive Assistants and business operations partners, to driving special events and projects. You will plan and play an important part in ensuring all executive-level business topics are occurring at the right time with the right people to ensure timely discussions and decision making.You are a highly collaborative and organized self-starter who can quickly prioritize and juggle multiple demands and changes with a can-do attitude, excellent judgment, and exceptional attention to detail. You demonstrate high levels of confidentiality and discretion, resourcefulness, timeliness, and can anticipate needs with minimal guidance in a dynamic environment. This opportunity is based out of our San Jose, CA office.What you'll Do Operating rhythm- Coordinate the operating rhythm of C-Suite staff meetings each quarter. Communicate the rhythm to relevant organizations and calendar the meetings.Calendar development- Develop the fiscal + 1 calendar encapsulating all major events, key offsites, reviews, and C-Suite staff meetings with key collaborators. Share and review calendar across Adobe to facilitate fiscal planning. Create half-year calendar of strategic topics with executive administrators and business operations teams and add to calendar.Calendar management- Handle daily topics and calendar shifts and make timely updates to reflect the latest agenda while considering C-Suite staff commitments to ensure alignment.Calendar reviews- Go over upcoming meetings each week with the Director of Business Operations. Highlight updates, issues and changes. Track canceled or postponed meetings and continuously prioritize backlog of topics and find new time slots to accommodate.Meeting material preparation- Update 2-week @ a glance schedule for C-Suite staff each week to ensure they are aware of what topics are upcoming. Remind and collect meeting agendas and pre-read materials before meetings.Meeting support- Order and coordinate snacks, meals, front desk support and work with IT to ensure all equipment are in working order, agendas are loaded and calls are on the IT calendar and are dialed-in.Raise concerns and barriers in a timely manner to ensure risks and issues are mitigated and resolved rapidly.What you need to succeed Bachelor’s Degree and/or equivalent work experience.5 years minimum as an Executive Assistant.Highly professional, discrete, and able to work quickly with confidential topics and matters.Ability to prioritize and accomplish tasks with little direction in a fast-paced environment and apply sound judgment.Project Management experience and skillsStrong communications, teamwork, and interpersonal skills. Can partner with s diverse set of audiences at all levels. Develops and cultivates positive relationships.Reliable and highly accessible. Available in the office during normal working hours and available via phone, email and Slack after hours, as needed.Demonstrates strong judgment, emotional intelligence, and integrity.Remains calm under pressure with strong executive presence.Possesses the ability to strike a balance between supporting daily needs of the executive, as well as anticipating and quickly resolving problems with a high degree of initiative is essential.Proficient in Microsoft Office, experience with Concur and Ariba.Experience supporting C-Suite executives in large corporations a plus.Internal events creation and support a plus.Our compensation reflects the cost of labor across several  U.S. geographic markets, and we pay differently based on those defined markets. The U.S. pay range for this position is $58,100 -- $122,500 annually. Pay within this range varies by work location and may also depend on job-related knowledge, skills, and experience.
