We do what we love, and we love what we do!About the RoleWe are looking for an Executive Assistant to support the General Manager and the leaders of the Spend Management team. The role is part of the leadership team and provides opportunities to learn and grow professionally, while working on diverse projects and supporting inspiring product innovators. The successful candidate is experienced, flexible, reliable, outgoing, professional, and exudes positivity. You will be responsible for organizing the schedule of the GM, supporting the leadership, and helping coordinate the operations of the team. Multitasking, emotional intelligence, discretion, and great networking abilities come in handy in your daily work. We are a people-first leadership team, we really care about our people. We move fast and adapt fast and you will need to handle ambiguity and competing priorities. Mornings Pacific time tend to be a scheduling Tetris to accommodate our international team. Key ResponsibilitiesRun the daily schedule and priorities of the GM of Spend ManagementNavigate challenging calendars and time zones considerately when scheduling large group meetingsCollaborate with the Chief of Staff on operational and strategic initiativesPublish meeting agendas, take and distribute notes, follow up on action items, and help drive key tasks to completionCoordinate team offsites, town halls, and team events (including recommendations on venue, logistics and meeting flow)Draft internal communications and prepare slide decksOrder catering for internal and external meetingsOrganize domestic and international travel, weighing options and contingencies to create an exceptional experience, with thoughtful planning in critical detailsProcess expense reports and ensure spend is within budget.Spearhead team swag projects from idea to delivery (including budgeting, selection, and purchase orders)Coordinate with internal and external groups related to business technology, office moves, meeting venues, workplace safety, and logisticsProactively problem-solve with little to no direction, evaluate options that save time and avoid potential disruption, and help executive stay a step aheadForm positive relationships with the executive’s customers, team, and partnersField incoming requests; exercise strong decision-making skills and discretion with highly confidential informationLearn the pulse of the team overtime and champion team culture Provide support on ad hoc projects as neededAbout YouBasic Qualifications:5+ years of executive support and/or project coordination experience, supporting multiple senior level executives.BA/BS degree or equivalent practical experience.Other Qualifications:Strong critical thinking skills with the ability to work independently with general direction and guidance.Ability to put yourself in the executive’s shoes by understanding the organization's priorities and handle the schedule in a way that promotes the most effective use of time.Ability to handle highly sensitive information with discretion, good judgment, confidentiality and the utmost integrity.Exceptional written and verbal communication skills.Professional skills working with office applications including Outlook, Google Drive, Word, Excel, PowerPoint and Zoom.Comfortable in a fast-paced technology environment.Workday Pay Transparency Statement - United States The annualized base salary ranges for the primary location and any additional locations in the United States (US) are listed below.  Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants.
