A positive attitude, high attention to detail & multitasking is necessary.This role will be based out of the corporate office located at 9348 Civic Center Drive in Beverly Hills and expected to be on-site 3-5 days a week.WHAT THIS ROLE WILL DOAnticipate executive needs and make sure all work materials are available for a successful workday (ex. context, agendas and attendee backgrounds for meetings/calls provided ahead of time, lunch ordered, etc.)Proactively and accurately manage multiple calendars and compile schedules/travel itineraries as needed in a fast-paced environment with shifting prioritiesArrange travel (commercial and charter), including transportation, hotel, meals, meetings, and any special needs in the US / internationalConfirm and be familiar with all daily scheduling and travel detailsTrack receipts and complete monthly expense reports in a timely mannerCreate purchase orders, process invoices and track/create basic financial reports for projects; Review and file invoices, update spreadsheets, and handle payment tracking Provide daily and weekly reminders as neededAct as a liaison between executives and various business guests, managers, etc., as a bridge for smooth communication between the Executives’ office and senior executives, internal and external teams, demonstrating leadership to maintain credibility, trust, and supportProofread and review correspondence and documentsAssist with special projects, conduct research, and compile information as neededAnswer phone calls and respond to emails in a prompt and friendly fashionTake notes in meetings and summarize key discussion points and action itemsAttend and participate in company meetings and events, as on-site support, and a representative of the company as requiredReview current processes and workflows to determine ways to prioritize and streamline the workload of the executivesPerform personal errands and task for C-level executives as requiredThis position is part of team of senior executive assistants. The role works closely with teammates to reinforce administrative support, act as backup during absences and ensure seamless coverage to other corporate executivesWHAT THIS PERSON WILL BRINGBachelor’s degree is required+ years of experience providing senior executive-level support in a Fortune 500 global company. Experience working at tech startups is a plusAbility to meet tight deadlines, proactively identify and solve problems, manage multiple projects at once and prioritize needs on the go.Must be tech savvy, have strong typing skills and command of Google Suite (including Drive, Docs, Slides, Sheets) and Microsoft Office suite (including Outlook, PowerPoint, Word, and Excel), as well as Slack, Box and ZoomFamiliarity with productivity and project management toolsExperience with Concur, Workday, Asana and / or Lucidchart is a plusAbility to take initiative, excellent follow-through of tasks until completion, and a strong attention to detailExcellent verbal and written communication, interpersonal skills, and phone/email etiquetteStrong interpersonal skills - always helpful, friendly, calm, diplomatic, and committed to maintain confidentialityLive Nation’s policy regarding vaccinations and masking will evolve based upon updated regulations and factors related to COVID-19.
