Duties include prioritizing emails and phone calls, scheduling meetings, gathering documents to prepare for meetings, coordinating travel arrangements and working with a global team.A high level of integrity, excellent written and verbal communication and strong IT skills are essential to succeed in this role, as well as flexibility, diplomacy, and patience.Responsibilities:Meeting and Event Planning/PreparationOrganizes meetings and develops agendas and meeting materials (such as presentations and reports) as neededPlans and organizes business unit special eventsCommunicationsProviding administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalfMaintains confidentiality and deals with information that is sensitiveAssisting with the preparation of internal & external emails / presentations.Special ProjectsAssists with special projects as needed Budgeting and Expense ManagementAssists with departmental budgetsMaintaining comprehensive and accurate recordsPerforming minor accounting dutiesProcesses expense reports and POs to completionCalendar Management and TravelManaging the executive’s calendar, including making appointments and prioritizing the most sensitive mattersOrganizing meetings, including scheduling, sending reminders, and organizing catering when necessaryOrganising international travel for executive, and on occasion wider leadership team.
