Your tomorrow looks bright at Ubiquity.Your Role:The Executive Assistant will provide executive-level support to the Chief Operating Officer (COO). The primary responsibilities of this role are to maintain the COO’s schedule, coordinate with internal and external stakeholders, provide logistical and travel support and work on operations related projects. The incumbent will report directly to the COO and will be based in Manila.Job Duties:Maintain an accurate and detailed calendar for COO, manage incoming scheduling requests, re-schedule meetings upon request, proactively communicate changes, and anticipate and respond to scheduling conflictsTrack COO’s tasks and projects to ensure appropriate prioritization of projects with respect to deadlines and organizational developmentsOrganize internal and external meetings for COOManage all travel scheduling and arrangementsTrack and reconcile monthly credit card statements and complete and submit expense reports in a timely mannerEnsure consistent and efficient interaction with other executive assistants across the organization; demonstrate poise and tact under pressure and handle matters with sound judgement and confidentialityTake notes and summarize action items in meetingsProvide special project leadership and support as needed Conduct preliminary research on a variety of topics; draft materials as neededPerform any other relevant duties as assignedQualifications:Bachelor’s degree preferred with minimum of 7+ years of experience in an executive-level support role requiredDetail oriented, organized with proven ability to successfully multi-taskStrong verbal and written business English communication skillsOutstanding interpersonal skills and preference for collaborationAbility to work in a fast-paced and sometime unpredictable environment; works well under pressure and tight deadlinesAbility to consistently apply good judgment and make good decisions.Ability to maintain confidentiality and discretion at all timesProven analytical and problem-solving abilitiesOrganized with a proven ability to juggle multiple projects at onceExperience managing complex event logisticsExperience with domestic and international business travel arrangements, coordinating meetings and tracking credit card and other expensesProficient in MS OfficeFlexible and resourceful approachIndependent problem solverApplicants must be willing to work in the office supporting US daytime working hoursWhat we do.Recognized as the #1 CX provider for disruptors and innovators across financial services, healthcare, and e-commerce, Ubiquity was founded on the belief that our clients and their customers deserve better.
