The role is based at our CEMEA Headquarters in Munich Riem. The position functions under minimal supervision. Contacts are frequent within and outside of the company and involve obtaining or providing information on matters of some importance to the company and may be of a sensitive nature.Success in the Role: What are the performance outcomes over the first 6-12 months you will work toward completing? Personal assistant support in all interpersonal, communicational and administrative matters on a very high levelYou will lead a complex Diary management including the booking and management of domestic & international travel via external portal system; visa applications where appropriateExtensive inbox management and highlighting of critical areasYou will be responsible for arranging team meetings including managing all pre-reading, attending & taking minutes in meetings, following up on outstanding actionsManage expense report submissions for the executive and checking of team members reportsCoordinate general administrative and organizational matters, e.g. organizing files; set up new starters; team holiday tracker; updating organization chartsPreparation of moderate to complex spreadsheets and high-level presentations using MS Excel and PowerPoint, which will become part of both internal and external communications for the companyYou will ensure the VP has appropriate documentation for meetingsProvide telephone and administrative supportAnswer questions and furnish information to keep the executive's time free of minor detail workCompose and edit correspondence on behalf of the executivesGather data from a variety of sources for inclusion in reports and presentationsInterpret and relay company policy information; keeps executive informed of any deviation on items that may require personal attention and approvalAct as a liaison between groups under the responsibility of the executiveHandle confidential material meaningful to company operationsThe Work: What type of work will you be doing?
