This position is responsible for the planning and execution of Vibee curated experience events and festival integrations. Destination Experiences and Festival Integration events may occur in markets throughout globally, in standard event venues to non-traditional spaces where all infrastructure is built. This is not a remote position. RESPONSIBILITIESProject Management Partner with the Senior Producer through the execution of every aspect of festival site and stage production such as advance work, creating/updating vendor orders, onsite build coordination, etc Manage and maintain day-to-day flow of projects with Senior Producer and Production team per showMaintain project timelines, track project process, and provide updates to all stakeholders, supported by Project CoordinatorBe responsible for the creation and managing of labor schedules and budgetsManage onsite schedules and distribute / track daily task lists and projects through build and strikeProvide support for all areas of the site ops team such as assistance in heavy equipment auditing and quartermaster tracking as necessaryBe responsible for other special projects as assigned by the site production manager Reporting Prepare and track all P-Card, cash spending reports, and per diem coordination with the finance teamPartner with Senior Producer to prepare forecasts, collect and organize quotes, and manage post show invoice reconciliation, supported by Project Coordinator and Elevated Experience teamUnderstand cost of materials / supplies and consequences of damage & loss with festival gear / rentals Administration Manage seasonal staff roster, coordinate offer letters, and new hire onboarding in coordination with HRBe responsible for timekeeping and payroll functions for seasonal staff in coordination with HR Partner with Senior Producer to spearhead recruitment / hiring effortsRecruit, train and onboard members on the team both directly and partnering teamsCreate necessary documents such as airtable forms, day sheets, command post dispatch guide and prepare site ops team, heavy equipment admin, and quartermaster admin with all necessary show info for proper logging / auditing to be doneSet up office space making sure supplies and crew wellness needs are taken care of at all timesCommunication Act as main internal communicator for the stage and site production and operations teamsCollaborate with the Front of House (FOH) and Back of House (BOH) teams to streamline the advancing workflowAct as the advance lead for the stage and site production team to complete and send out advance forms to confirmed vendors and internal departments for each event.
