Coordination of events will also include collaboration with executives and their representatives, field marketing and partner marketing. Responsibilities include managing logistics for conferences, trade shows, customer meetings, data center openings, sales events, executive meetings, internal department off sites and other events as needed. The position reports into Events Logistics Department, which is part of the Global Events Team.ResponsibilitiesParticipate in the strategic planning process for meetings and events, including identifying event objectives and constructing initial budgetsVendor sourcing/selection, management and supervisionVenue sourcing/selection, management and supervisionManage budgets, track and report expenditures, and reconcile event billingMonitor timelines for multiple events, including sponsorship deliverables, payment schedules, communication deadlines, etc.Collaborate with Equinix colleagues to plan and execute events – this includes working closely with executives, field marketing, partner marketing, creative services, digital marketing, social media, brand and other teamsManage trade show booth creation, set-ups, staffing, etcReview event communication (websites, invitations, emails) for information accuracyLead event planning calls throughout the entirety of the event lifecycleCreate and/or contribute to post-event reports and debriefsProcess expense reports, PO requests, contracts, etcAdvocate for compliance with Equinix T&E and budget policies for all eventsTravel for site inspections, pre-planning meetings and to manage events, sometimes with short noticeQualificationsMust have experience managing high-touch, executive eventsMust be able to multi-task in a fast-paced environmentDeadline-oriented with attention to detail and processPossess strategic planning skills, including the ability to create unique and positive attendee experiencesExcellent interpersonal skills both in person and by phone, with high professionalismOutstanding oral and written communication skillsMust be highly collaborative and transparentAble to work independently and accomplish goals with little supervisionProficient in Microsoft Office, including Word, Outlook, PowerPoint & ExcelExposure to Cvent meeting management toolMust be able to move and lift boxes occasionallyMinimum five years of experience working in a professional business environmentMinimum five years of experience managing corporate events/conferences/trade showsBachelor’s Degree in related subject (Marketing, Communication, Hospitality) preferredEquinix is committed to ensuring that our employment process is open to all individuals, including those with a disability.
