You will maintain playbooks and processes, generate reports, be “the go-to person” for all legal billing needs and implement data-driven strategies to control costs, forecast resource and budget needs, and monitor internal and external resource performance.ResponsibilitiesBe the main legal vendor POC for Legal department through the company’s onboarding processes, facilitate payment for services rendered and provide reporting to various partners.As the owner of the Legal Department’s Outside Counsel Guidelines, the individual will be responsible for ensuring invoices from law firms and legal vendors comply with billing guidelines.Ensuring annual guideline reviews are conducted and communicated to the various legal vendors.The individual will coordinate periodic reviews of pending reports, annual legal vendor, and rate card reviews are conducted in a timely fashion.Invoice ProcessingAct as a main contact for all matter management issues with law firms and vendors and internal colleaguesAnswer law firm and vendor queries regarding invoices and paymentsMonitor and audit invoices to ensure timely processing and in accordance with Outside Counsel and Billing guidelines.Analyze rejections and/or deductions, resolve issues, coordinate and process revisions or adjustments between e-billing and AP systems.Create and close matters.Manage new timekeeper matter assignment request process.Oversee timekeeper management, including new timekeeper requests and approvals.Maintain legal billing technology functional designThe individual will be required to work with IT and industry consultants to continuously ensure that eBay is using the technology necessary to fulfill the responsibilities of this position. Specific technology includes matter management, electronic billing, and spend analytics.Provide technical and training support for new legal department hiresDevelop and maintain reports and processes to monitor people, processes, and spend throughout the legal and GR departmentDevelop understanding of database reporting capabilities; including an understanding of what metrics are available or can develop that reflect Legal spending.Develop low-medium complexity reports.Provide routine and ad hoc analysis and reporting.Present data that explains, categorizes, and justifies legal department spend.Support content for regularly scheduled monthly, quarterly, and annual reporting requirements.Analyze key billing and matter data sets to perform comparative analytics and trends across functional activities and recommend process improvements to ensure efficiencies.Proactively identify trends influencing overall legal spending or matter workload.Collaborate with teams, including the broader legal and government relations team, IT, procurement, AP, vendor management and financeWork closely with other members of Legal OperationsRequirementsBA or equivalent work experience4+ years of experience with data analyst and/or legal operationsExperience with legal analytics and legal terminologyHistory of demonstrating an Enterprise Legal Management solution for vendor management, invoicing, and payments.Excel in business applications such as Microsoft Word and Excel, SharePoint; including:Ability to work with multiple data sets to make informed recommendations.Advanced Excel skills (i.e., Formulas, Pivot Charts, Pivot Tables, Formatting, etc.)Excellent analytical, problem-solving, troubleshooting, relationship building and communication skills.
