We are seeking a highly motivated and detail-oriented Executive Coordinator to join the Executive Recruiting team at Tripadvisor. This is a highly visible role as you will support the scheduling and coordination of interviews and travel for executive candidates across all of our business units. This is a hybrid role and will require you to be in Needham ~15% of the time.
As the first point of contact for Tripadvisor, the Executive Coordinator will support the Executive Recruiters to provide the best in class experience for all candidates. This entails excellent communication skills and impeccable attention to detail.
What You'll Do
Manage scheduling for complex interview loops and other recruiting related tasks. Greet and host candidates while on-site when necessary, and address any issues that arise throughout the interview process.
Build relationships with hiring managers, EA’s, administrative teams, and interviewers across all departments
Manage candidate travel arrangements and expenses when applicable
Work closely with our Executive Recruiting team to improve upon existing programs and processes and innovate on our candidate experience
Update and maintain applicant tracking system / candidate database (Greenhouse)
Support the recruiting team in the planning and execution of recruiting focused events such as conferences and presence at industry events
Conduct reference checks and verify employment history and qualifications
Manage candidate communications, including populating and sending offer letters and coordinating start dates
Assist with additional ad hoc projects such as running weekly and monthly reports for the Executive Recruiting Team.
Co-facilitate and manage New Hire Orientation with Recruiting Coordinator peers
Skills & Experience
Strong organizational and project management skills with the ability to manage multiple priorities and meet deadlines
Excellent communication and interpersonal skills with the ability to work collaboratively with internal stakeholders and external candidates
Proficient in Microsoft Office and experience with Greenhouse or applicant tracking systems
Ability to maintain a high level of confidentiality and professionalism
1+ years executive recruiting coordination or recruiting experience is preferred
Strong attention to detail, organization, and follow up
Ability to communicate effectively with a wide range of individuals
Trustworthy and able to act with discretion when handling sensitive, confidential information
Ability to address last minute scheduling changes
Customer service mindset and a positive, can-do attitude
Ability to be onsite in Needham, MA as needed (~15%)
Bachelor’s Degree preferred
