We care deeply about delivering the best solutions for our customers.  As a member of the Kargo team, you will have the opportunity to manage the communication and calendars for C-level executives, create and maintain a pleasant work environment, ensuring that we operate smoothly and efficiently in a fast paced and growing startup. Responsibilities Executive Assistant  Act as an Executive Assistant to C-level executives, which includes the scheduling of meetings, calendar management, and booking travel. Coordinate internal and external meetings including team meetings, all hands meetings, off- site meetings, one-on-one meetings, and meetings with stakeholders and customers. Coordinate domestic itineraries and travel including booking flights and hotels, and coordinating details so that execs are always prepared during trips. Book and manage travel and accommodations for existing employees and new hires. General administrative duties including paperwork, note taking, and scheduling follow up meetings. Manage financial administration for execs, including expense reports, receipts and invoices. Attend meetings, take notes, and follow up on action items. Office Manager Maintain Kargo’s offices, coordinate with office vendors, and ensure common areas are clean and orderly. Plan and organize company events (including meetings, team events, celebrations for company milestones and off-site retreats), for both in office and remote employees. Assist with food orders, lunch planning, and the planning of other business related meetings. Sign for deliveries and packages from USPS, UPS, FedEx, DHL, and other carriers. Greet visitors and provide general administrative support to Kargo employees. Comfortable being responsive outside of general business hours, when necessary. Other administrative and office oriented projects, as needed. Experience 3+ years experience as an office manager or as an executive assistant in a face-paced environment. Strong administrative, project management, and organizational skills. Effective, clear, and concise communication skills, both written and verbal. Resourceful and proactive self-starter, who learns quickly and asks the right questions. Bachelor's Degree preferred or equivalent experience.
