Executive AssistantDescription -Job SummaryWe are seeking a highly experienced and proactive Executive Assistant, excited to work in a fast-moving consumer business, to support a senior executive in our dynamic Consumer PC Systems group. The ideal candidate will have a strong background working within the PC industry, preferably with experience in the Silicon Valley ecosystem. This role requires a strategic partner who can anticipate needs, manage complex scheduling across multiple time zones, and facilitate seamless communication with key partners globally, particularly in Asia.Responsibilities:Actively manage complex calendars and daily schedules across multiple international time zones, adeptly prioritizing competing requests and ensuring the executive's time is optimized.Arrange detailed and often complex international and domestic travel, including itineraries, visas, and logistical arrangements, with a forward-thinking approach to anticipate needs and adapt to changes.Serve as a primary point of contact and liaison for the executive, demonstrating exceptional emotional intelligence and interpersonal skills to build strong relationships with internal teams, external partners, and their EAs, especially in key regions across Asia.Coordinate and orchestrate a high volume of diverse and complex meetings, both virtual and in-person, including agenda development, material preparation, taking minutes, and tracking action items to ensure productive outcomes.Correspond with internal stakeholders and third parties, maintaining a high level of professionalism and discretion, and respecting confidentiality at all times.Work on assignments that are highly complex, requiring a significant degree of initiative, problem-solving, and the ability to work independently with sound judgment.Support the administrative and logistical aspects of key initiatives, working with cross-functional teams to facilitate data collection and performance measurement.Harness conflict creatively as an opportunity for improvement and effectively resolve outstanding issues in a timely manner.Demonstrate strong business acumen and a technical knowledge of the PC industry to effectively manage and prioritize tasks.A proactive, energetic, and outcome-oriented approach, with an enthusiasm for a fast-moving consumer business.Actively seek opportunities to improve business and operational processes and procedures, contributing to overall team culture and operational excellence.Complete various administrative tasks including maintaining departmental lists, managing distribution lists and Teams channels, handling subscriptions, processing expenses, and ordering supplies and equipment.Education and Experience Required:High school education or equivalent; some college-level education highly preferred.Typically requires a minimum of 9+ years of general administrative experience, or an equivalent combination of experience and college-level education.Proven experience working as an Executive Assistant in the PC industry, with a strong preference for experience within Silicon Valley.Demonstrated experience working in a global environment, adept at managing relationships and scheduling across multiple time zones, with a specific emphasis on collaboration with partners in Asia.Experience successfully working on multiple issues/projects simultaneously in a fast-paced environment.Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint) and Teams; SharePoint skills are a plus.Ability to learn and manage multiple internal tools and platforms (e.g., SharePoint, Teams, travel and expense systems).The pay range for this position is $40 to $60 USD per hour (applies to United States of America candidates only).
