Job Requisition ID #25WD89357Position OverviewAutodesk is seeking an experienced Executive Assistant to join our talented team. You will report to and provide administrative support to three senior leaders in our Legal, Government Affairs, and Public Policy team. We are looking for someone who provides administrative partnership to senior executives and acts as a facilitator and liaison, handling details of a highly confidential and critical nature. You are flexible, enjoy working in a fast-paced environment, can manage multiple tasks, and are not afraid of making recommendations to create better ways of working. This position requires initiative, tact, and independent judgement to proactively address potential problems and ensure an efficiently functioning team. Our idea of a great team includes transparency, rolling up our sleeves when needed, and supporting one another.This position is hybrid, based in the San Francisco area, Portland, or Denver and will report to the VP, Legal.ResponsibilitiesProvide administrative partnership to three leaders, including complex calendar management (including staff and team meetings), planning, arranging domestic and international travel, and creating expense reportsDevelop and maintain positive working relationships with internal and outside parties, including high-level contacts of a sensitive natureManage and maintain team documents, information flow, web pages, wikis, and/or other knowledge management assetsMake business travel arrangements and manage and communicate travel itinerariesPlan and coordinate events and multi-day meetings on and offsite, including preparation of meeting materials, logistics, food, agenda, amenities, activities, and communications with attendeesPartner with other EAs to coordinate between executives and manage tradeoffs, prioritization, and ad-hoc projectsMaintain email aliases, distribution lists and shared directoriesMaintain positive working relationships with staff, internal departments, and outside parties, including high-level sensitive mattersCreate documents and knowledge assets on behalf of your leaders or the greater team, including onboarding materials and presentation materialsMinimum Qualifications5+ years of experience in an administrative support role, ideally in a fast-paced or high-growth environment and prior experience supporting multiple executives at onceExceptional interpersonal skills with the ability to engage and build relationships with internal and external stakeholders at all levelsHigh attention to detail, analytical ability, and strong organizational skillsProven judgment and discretion in handling confidential and sensitive informationStrong proficiency in Microsoft Office Suite (Outlook, PowerPoint, Teams, Word, Excel), Technology-Slack and/ or Teams or relevant toolsAbility to manage competing priorities and deadlines in a fast-paced environmentStrong written and verbal communication skills, with the ability to articulate complex information clearly and conciselyThe Ideal CandidateProactive & Solution-Oriented: Anticipate needs and take initiative to solve problems before they arise, always seeking ways to improve workflowsExceptional Communicator: Clear, concise, and persuasive in written and verbal communication, tailoring messages to diverse audiencesTeam Player: Excel in a collaborative environment, and you're comfortable building relationships across different functions and teams within a matrixed organizationMulti-Tasker & Ability to Prioritize: Able to juggle competing priorities, adjust to changing needs, and remain calm under pressureTrustworthy & Accountable: Dependable, flexible, and discreet professional, who takes ownership of tasks and demonstrates exceptional judgment in all aspects of the roleLearn MoreAbout AutodeskWelcome to Autodesk! For U.S.-based roles, we expect a starting base salary between $83,000 and $143,220. Offers are based on the candidate’s experience and geographic location, and may exceed this range.
