Our CEO, Will Marshall, has a bold vision. Will is seeking a thoughtful and diligent Executive Assistant—a wide ranging role that includes helping set meetings of all kinds: trips to meet heads of state, lunches to engage with high-profile potential investors and customers to help achieve precision with those small yet really important tasks. Will tries to never miss a beat.
Our team of Executive Operations Partners are the critical ties that bind our organization, and you would have the opportunity to pair collaboratively with each to ensure the executive team evolves its own team’s culture as you help Will maintain a focus on what matters most—our people, our culture and our long-term vision toward success.
This is a full-time, in-office position based in our San Francisco HQ 5 days per week.
Impact You’ll Own:
Be the eyes, ears, hands and heart of our CEO—a brilliant visionary who cares a lot about the future of life on Earth
Heavy calendar management and operational support in a dynamic environment, which time to time can be all hours of the day and week
Manage domestic and international travel and itineraries to ensure Will’s comfort and timeliness to wherever and whenever they need to be around the globe (last minute re-bookings and modifications are standard!)
Routinely engage with external stakeholders in person, by email, and, often times, by picking up the phone
Communicate with Planet Board Members and coordinate Board Meetings, Committee Meetings, etc.
Undertake pre-meetings for context & prepare CEO briefing packets. Interface with leaders on different internal teams to understand context and background for CEO meetings. Distill information into an "at a glance" format so it is easily referenced
Anticipating needs of the CEO for meetings—checking correct attendance, checking practical details are working, especially for VIP meetings
Attend meetings where appropriate and document/project manage the follow through on deliverables whether coordinating follow through of the CEO, Executive team or helping to delegate to teams as appropriate.
Take meetings for the CEO as surrogate when needed
Task management including ensuring follow up from meetings both by Planeteers and external follow up
Coordination of EAs of the company—a key oil in the machine for the machine to hum
What You Bring:
4+ years progressive experience supporting CEO or equivalent executives at a dynamic, high growth company
Ability to respond and thrive in a rapidly changing environment
Advanced executive support capabilities ranging from travel and accommodations, heavy calendar management, business partnerships and creating presentations
Maturity, resilience and professionalism working with internal and external high profile people, with the confidence to make important critical decisions when required
Excellent organization with the ability to ensure others around you are similarly organized
Ability to multi-task and navigating shifting priorities
Experience with hyper-proactivity, always anticipating the needs of others
Excellent attention-to-detail and big-picture thinking
Excellent verbal and written communication
Ability to find solutions with minimal direction
Experience working with software and technologies that create for greater efficiency and resilience

The US base salary range for this full-time position at the commencement of employment is listed below. Additionally, this role might be eligible for discretionary short-term and long-term incentives (bonus and equity). The final salary range is determined by job related experience, skills and location. The range displays our typical hiring range for new hire salaries in US locations only.
