Job SummaryAs a part of the Global Legal Operations and Strategic Services (GLOSS) team, the Senior Analyst - Agiloft CLM Administrator will be responsible for working with various stakeholders across the Legal department on projects and administrative maintenance/support of Legal tools, data and systems. The Administrator will work in a support capacity on projects from design through delivery and subsequent user support for legal technology. The GLOSS team is leading technology projects that drive digital transformation across the Legal practice areas, from enhancing current systems and supporting system integrations to developing business requirements and standard processes for new system deployments. The successful candidate will need to juggle responsibilities to support various projects with a wide range of complexities and assist with the development, maintenance and improvement of Legal Operations data, processes and systems.In addition to project and system support, the Administrator will own data and analytics-related work in the Equinix Contract Lifecycle Management (CLM) systems to ensure the data is accurate and trusted. The successful candidate will partner with legal subject matter experts, IT partners, and cross-functional counterparts to maintain data standards, gather appropriate alignment, and follow documented processes to ensure data fields and results are accurately updated. Additionally, the Administrator will partner with the Data & Analytics team to provide and capture insights to drive process discussions and system updates to deliver meaningful results for the internal customers.ResponsibilitiesDiagnoses and resolves system failures and malfunctions using standard practices and proceduresLiaises with IT for resolution of standard systems failures and user setting issuesMaintains, reviews, audits, and modifies data, records and templatesProposes improvements, policies, procedures and processes with respect to data and recordsEnsures compliance with data and records policies, procedures and processesSets up appropriate user roles and security settings within existing and future systemsMaintains, prepares and configures contracts-related content to be used within the contracts systemsProject management of Legal technology projects, ensuring that projects are delivered on-time, within scope and within budgetIndependently conduct internal/external research to completion of basic and complex requestsUnderstand business needs and objectives for the Legal departmentDefine project scope and objectives, involving all relevant stakeholders and ensuring technical feasibilityLead the implementation, deployment and further development of Legal Technology systemsGather, document, and analyze business requirements and partner with IT, cross-functional stakeholders and external service providers to recommend practical, innovative solutionsCreate and maintain documentation related to developing and modifying business processes and related systemsSupport the development of project business cases, including ROI calculation and benefit realization plansWork closely with business partners to understand processes, gaps, goals, and improvement opportunitiesAnalyze, provide recommendations and document existing and future state business processesConduct and coordinate user acceptance testingLead cross functional process management discussionsTranslate business challenges into systems (single or cross functional) requirements designGather metrics and generate routine reports that measure adoption of processes and toolsPartner with Data & Analytics teams to develop meaningful usage reports or communicate the need for raw data to develop customized reportsDevelop and generate reports to final users with data analysis and suggestionsLead the development of customized training materials strategicallyProvide trainings as required on various functions, processes or technologiesDraft, support and/or provide inputs to deliver information relevant to the audience and project needs using the proper language and proper toolsProvide recommendations on promoting awareness and increase user adoption of toolsUse a variety of problem-solving skills to resolve issues with internal teams and stakeholdersQualifications 5+ years completing similar tasks to those above, and within a Legal or IT environment, preferred Bachelor's degree or related experience required3+ years of experience with Agiloft CLM technology and processes are required. Experience with other Legal technologies (CLM) is preferredProject Management qualifications preferredAbility to identify and manage cross-team and cross-project dependenciesAbility to anticipate and address issues early with strong customer focusStrong analytical skills, including business case acumenAbility to balance and prioritize multiple projects for various internal customersStrong interpersonal and communication skills requiredAbility to make decisions independently, knowing how and when to escalate issuesExperience working directly with business teams and stakeholdersExperience in Legal domain preferred, including but not limited to Contracts Management, Compliance, Privacy and Entity ManagementKnowledge of Project Management Technology, such as SharePoint, Smartsheet, Tableau, Box, JiraAdvanced Microsoft Office knowledgeThe targeted pay range for this position in the following location is / locations are:British Columbia State: $76,000 to $114,000Our pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.This position may be offered in other locations.
