Our team is growing and we’re looking for an Executive Assistant/ Manager, Administrative Support to join our team.Calix is looking for an Executive Assistant to support our Executive Vice President, General Counsel, and Vice President of Corporate Strategy. This role also includes managing a team of Administrative Assistants within the Products Organization and providing project and program support in the G&A organization.In this role you will….Responsibilities and Duties:Manage the EVP/VP’s busy calendar and prioritize meetings to ensure their day is productive.Provide a "gatekeeper" and "gateway" role, creating win-win situations for direct access to their time.Assist with the EVP/VP’s email draft correspondence and coordinate their communications with internal and external parties.Arrange complex travel and complete monthly business expense reports.Prepare them for internal/external meetings and speaking opportunities.Liaise closely with the events team to organize and execute various internal and external events for which they are the executive sponsor.Act as the EVP/VP’s Liaison with internal Business Unit Leaders and Business Partners.Organize and take actions items at weekly team meeting, ensuring that all material is collated and prepared ahead of time.Maintain confidentiality of highly sensitive information. Execute various ad-hoc projects, as requested.Provide back-up to other EA team members, as needed.Qualifications:Some travel may be required. Estimate < 10%.BA in business (or equivalent) or 5+ years’ related work experience.3+ years of solid, senior level (C-suite or equivalent) executive support experience.Self-starter, self-motivated, discrete, collaborative with ability to also work independently.Very strong interpersonal skills and the ability to build relationships with key stakeholders in a remote environment.Excellent written and verbal communication skills.Impeccable organizational skills and ability to prioritize multiple tasks seamlessly with a strong attention to detail.Strong project management skillsThrives in a fast-paced environmentTeam player with a sense of humor.Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Zoom and social media web platforms.Location: Remote-based position located in Canada
