This is a utility position which will provide support to multiple functions including Mail Services, Facilities Help Desk and the Events team. You will physically and logistically support package/material deliveries and pickups, meetings and events and serving as a liaison between internal customers, vendors, and team members in support of the Facilities Management of our San Diego campus buildings.  We are looking for someone that is detail oriented, motivated and passionate about providing the best customer experience.*This position is onsite in San Diego, Mon – Fri.Responsibilities:Mail Services:Receive, sort, and deliver all classes of inbound US Mail, and packages from various carriers across San Diego campus.  Manage deliveries of mail and packages to Executive Leadership wing and the Executive Briefing Center.Receive and process inbound shipments and, deliver to end-users using IMAYL software along with internal standard operating procedures for pictures chain of custody loop.  Process postage for all classes of outgoing US Mail including certified mail. Perform daily mail runs which includes collecting outgoing mail pieces and packages from each designated mail stations throughout campus, picking up inbound and dropping off outbound US Mail and packages at local post offices utilizing company vehicle. Perform daily ship-it routes for internal outgoing packages. Responsible for ordering and stocking mail/shipping supplies and Illumina branded stationery at mail stations.   Process Iron Mountain Service Now tickets related to requests for supplies, sending and/or retrieving boxes from off-site storage.Maintain updates of IMAYL database and troubleshoot issues.  Manage customized reports illustrating metrics related to performed services  Maintain managed spaces to ensure cleanliness, organization, and safetyRespond professionally to customer inquiries via email in a timely mannerRelocate or remove employee mail folders as neededEvents:Support meeting and event requirements, including but not limited to modifying room setup / breakdown as required (moving tables, chairs, etc.) and identifying pre- and post–meeting spacesRecommend and support meeting rooms, times and coordination for teams and projectsRespond to inquiries and requests from internal customers in a knowledgeable and professional mannerAssist with coordination of event rentalsMaintain accurate inventory of onsite event equipment Conduct meeting and conference room audits and restock supplies as necessaryCreate badges, signage, and any other supplies needed for internal and external eventsEvaluates daily priorities and product allocations to support customer orders and internal requestsWorks with local and regional management to ensure site alignmentAcquires and maintains a clear understanding of the technologies utilized in Illumina’s processesAll listed tasks and responsibilities are deemed as essential functions to this position; however, business conditions may require reasonable accommodations for additional task and responsibilitiesFacilities Help Desk:Answering and routing incoming phone calls appropriatelySubmit work requests for customers as necessarySubmit and track status for Facilities related safety ticketsChecking and responding to customer emails promptlyInteract and collaborate effectively with other functions to drive solutions for customersFollow up with customers on satisfaction of services, repairs, etc. as necessary.Review and assign Facilities work order requests as necessary.Create and run weekly / monthly / quarterly work order metrics/reports for all associated departmentsTrack and update status of work requests/work orders as neededManage offsite document storage requestsOther:Conduct building auditsInstall temporary site signage as neededProvide support to remote sites and other functional teams as neededComplete miscellaneous projects as assignedPrint and issue meal vouchers upon requestOther duties may be assignedRequirements:Minimum 2 years of work experience in facilities/property management/customer support preferred.Ability to communicate clearly and professionally both in writing and verbally.Experience with Service Now, iMayl or related systems is preferred.Ability to multi-task in a fast-paced environmentAble to do physical labor for periods of timeAble to stand, walk and lift / move items up to 50lbs for long periods of timeUnderstanding of Microsoft Excel, Outlook, PowerPoint, and WordProblem solving skills paired with ability to be proactive and foresee next stepsWillingness to complete a broad range of administrative responsibilities ranging from entry to senior levelConfidence to take delegated tasks and ask questions for clarificationValid Driver’s license with clean driving recordThe estimated base hourly range for the Facilities Coordinator 2 role based in the United States of America is: $20.76 - $31.15. Should the level or location of the role change during the hiring process, the applicable base pay range may be updated accordingly. Compensation decisions are dependent on several factors including, but not limited to, an individual’s qualifications, location where the role is to be performed, internal equity, and alignment with market data. Additionally, all employees are eligible for one of our variable cash programs (bonus or commission) and eligible roles may receive equity as part of the compensation package.
