Job Requisition ID #24WD80414Senior Hotel Sourcing Manager Position overview: You will locate, negotiate, and contract hotels in appropriate destinations for meetings and events, providing additional ad-hoc meeting planning support. You have an expert level knowledge of the leading convention and event destinations, with a comprehensive understanding of the major hotel brands and how they help achieve our overarching goals.You will report into the Manager, Hotel Sourcing & Contracting. The role can be based anywhere in EMEA but regular travel to our Munich and Barcelona offices is required.We offer both hybrid and remote working options to our employees.Responsibilities:Develop strategy for hotel identification for meetings ranging from 10 to 12,000 people and budgets ranging from $20K to $8MManage the RFP process to secure appropriate room blocks, logistical needs, and pricing from hotels and suppliers through our proposals management system (Cvent) and other avenuesCreate proposal overviews that provide strategic hotel bids sourced through our proposals management system. In tandem, provide recommendations that guide internal clients in making the best selection to achieve their business objectives and advising on contractual responsibilitiesBe a single contact for all questions related to RFP responses from hotel management.Communicate results to suppliers ensuring business relationships are maintained.Negotiate hotel pricing, maximizing cost savings and protecting the interests of the company with risk mitigation clausesReview and negotiate contracts with all levels of hotel management until a mutual agreement is achieved. Ensure appropriate legal and commercial terms are included, such as attrition dates, indemnity, rebooking etc., to avoid corporate exposure and redistribute riskReduce cancellation damages by taking preventive measures during the contracting phase.Oversee program change re-negotiations or cancellation negotiationsImplement appropriate contract addendum to ensure agreements are contractually sound and consistent across the team whenever possibleAnalyze new laws, regulations, and contract trends for potential impact on our business.Translate complex clauses into easy to break down terms to aid in the stakeholder's understanding of the contract languageKeep team library and in-house program management system updated with all required information during the event life cycle for reporting and transparency purposesImprove and update own product knowledge through targeted activities and attendance of familiarization trips, office presentations and site visitsParticipate in global projects to lead global consistencyResponsible for accurate cost savings documentationManage post-event follow up with hotels to ensure contractual commitments are met or rectifiedPresent program guidelines and benefits to internal stakeholders and provide training on best practices for working with our department resources to ensure complianceParticipate in the creation and improvement of templates and playbooks under the supervision of the Department ManagerMentor and train less experienced contract professionalsAbility to travel to Autodesk offices to meet with stakeholders ad-hocMinimum Qualifications:8+ years of hotel sourcing & contracting experience in corporate, third-party meeting planning organization or hotel salesDemonstrated expertise in sourcing all sizes and types of meetings, including citywide conventionsDeep knowledge of major meeting destinations, venues, suppliers, and hotel contracting practicesResourceful team player with the ability to solve problems and issuesAble to thrive in a fast-paced environment and effectively prioritize workloadsKnowledge of project management techniques and tools and best practicesDemonstrates keen attention to detail often under tight deadline constraintsAccomplished negotiator with experience in conflict resolutionWork with different stakeholders across the organizationExperience with Cvent or similar meetings management softwareIndustry connections that can be used for successful resultsPreferred QualificationsBS/BA preferred or equivalent professional experienceCMP preferred#LI-MB1Learn MoreAbout AutodeskWelcome to Autodesk!
