Your tomorrow looks bright at Ubiquity.Your Role:People ManagementManage and coach the team responsible for the day-to-day facilities operations of the site.Direct reports include Places Site Lead/s, Facilities Engineer/s, & Admin Specialist/s as well asContingent Worker Sites running 24/7 operations.Oversee Places Site leads and develop a high-quality & well-motivated team.Strong people skill, ensure high staff morale, trust, and work ethics.Build and maintain an environment that supports teamwork, cooperation, and performance excellence within the team.Mentor and enable the training and development of team members.Site OperationsBe the point of contact for Admin & Facilities Operations of Manila & Laguna sites.Manage the facilities operations of multiple sites across a range of facilities management concerns, including planning, operations, and maintenance service delivery.Manage operational CAPEX & OPEX budgets and actual spend.Coordinate facilities-related matters, including escalations, project liaison, events, and landlord related issues.Lead planning and execution of minor moves/restacks, renovation/upliftment and ad-hoc projects.Collaborate with Ops, Finance, Legal, Facilities & Construction Project Teams for business growth & expansion initiatives.Develop and administer planned preventative maintenance programs, coordinate all maintenance activities, and ensure all unscheduled maintenance is promptly fulfilled.• Ensure seamless management for all reactive maintenance, downtime, and breakdowns according to agreed SLA and escalate as appropriate.• Liaise with the landlord on matters relating to the premises, including fire evacuation training/drills.Collaborates with Ops & other stakeholders to achieve meaningful Client Visit experiences.Lead the management of transportation & shipping services, including vendor liaison.Conduct facilities management operations audits.Client/Stakeholder ManagementEngage with clients, leaders & staff in the office and deliver the primary goal on WorkplaceExperience and Sustainability programs.Ensure clients, leaders & staff satisfaction through excellent facilities management planning, advice, and support.Regularly meet-up and engagement with Business Unit Stakeholders.Procurement and Vendor ManagementConduct regular contractor meetings and review suppliers' performance.Ensure vendors are well-managed, delivering services on time and within budget.Ensure that vendor procurement processes comply are up to date and align with the approved procurement guidelines as well as best practices.Plan and manage all contracts to ensure they are professionally delivered and aligned with the industry pricing matrix.Monitor contract expiry and initiate re-procurement if needed.Complete vendor management checklists as required.Finance ManagementOversee the administration of the financial management system and issuing of Purchase Orders to vendors.Work closely with the Finance & Accounts Payable team to ensure no outstanding amounts or payment issues.Prepare the annual budget report and monthly variance report.Track savings and variances in all monthly finance reporting.Health & Safety ManagementAttend emergency situations and prepare incident reports.Ensure escalation procedures and incident reporting procedures are implemented and maintained.Adhere to code of conduct, ensuring compliance with the established guidelines, procedures, and strategies.Lead the development of guidelines and strategies to ensure compliance with business conduct.Conduct periodic risk assessments and maintain regular reporting of identified risks.QUALIFICATIONSBachelor's Degree preferred with 3-5 years of relevant experience.Certified Lean Six Sigma Yellow Belt (CLSSYB), preferredWell-verse in the operation and maintenance of HVAC system, generator, electrical distribution system, fire protection system, building maintenance or project management.Effective verbal and written communication skills both internal and external.With strong leadership and management skills working with teams at different levels in the organization.Experience in the areas of staffing, selection, training, development, coaching, mentoring, measuring, appraising, and rewarding performance and retention preferred.Strong knowledge in the implementation of EHS programs and initiatives such as energy and water conservation programsLeadership skills to motivate team impact on quality, efficiency, and effectiveness of the job discipline and department.Extensive organizational skills with a strong inquisitive mindset.Advanced math skills.
