Country Managing Director SupportMeeting/Event PlanningOrganize meetings, including scheduling, room reservations, and logistical arrangementsSupport the executive in preparing presentations and other materials, ensuring accuracy and qualityDevelop meeting agendas as needed and ensure all necessary materials are prepared and distributedPlan and coordinate special events, such as conferences, seminars, and team-building activitiesSupport logistics of new employees’ onboarding and offboardingCommunicationsSupport corporate administrative work related to Equinix Korea LLCMaintain an organized filing system for important documents, reports, and correspondencePrepare presentations as assigned by the Managing DirectorSupport the approvals process by preparing and distributing necessary documentsScreen and prioritize incoming communications, including emails, phone calls, and messages Collaborate with other administrative staff and executive assistants to ensure seamless operationsCoordinate agenda and logistics for regional and global visitorsEnsure compliance with company policies and proceduresMaintain strict confidentiality of sensitive information and handle it with utmost discretionSpecial ProjectsCoordinate and assist with special projects as assigned by the Managing DirectorConduct research and gather information on various topics as requestedCreate action plans with clear roles, responsibilities, and deadlinesUtilize project management skills to coordinate and track tasks and deadlinesBudget/Expense ManagementManage budgets and track expenses to ensure adherence to financial guidelinesProcess expense reports and purchase orders accurately and in a timely mannerCalendar/Travel ManagementCoordinate the Managing Director's calendar, including scheduling appointments, meetings, and travel arrangementsArrange travel accommodations, including flights, accommodations, and transportation2. Corporate Real Estate (CRE) Team SupportAssist with daily operations of company corporate real estate.Provide support for office moves and ergonomic assessments (when needed), shipping and receiving, meeting rooms, parking and office standards.Assist and coordinate with third party vendors, service providers and corporate real estate staff as requestedAssist daily sorting, pickups and deliveries of all external and inter-office mail and support employees on all mail and shipping requirementsSupport the corporate wide office eventsCommunicate with global IT team as neededQualificationsProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant softwareExcellent organizational and time management skills, with the ability to prioritize tasks effectivelyStrong verbal and written communication skills, with a keen eye for detailAbility to work independently with minimal supervision and as part of a teamDiscretion and professionalism when handling confidential informationFlexibility to adapt to changing priorities and deadlinesBackground in project management is preferredProven years plus office experience is preferred.
