Operations LeadDescription -Overview:We are seeking a dynamic and experienced Operations Manager for our Americas region. Reporting directly to the Chief of Staff Global Government Affairs, this role requires someone with exceptional communication and project management skills who can adeptly support multiple stakeholders. The successful candidate will play a crucial role in ensuring the seamless execution of operations and strategic initiatives within the region.Key Responsibilities:Financial Management:Pull, analyze, and share quarterly US invoices and lobbying-related costs.Keep track and report regional expenses for each quarter. Manage and report adjustments and wishlist requests during the quarter.Address related financial questions and tasks.Administrative Support:As needed, provide calendar support and arrange complex calls for regional team leads, including those with a mixed external audience and L2 executives.Organize team calls requiring full attendance, often coordinating 1:1 checks for flexible scheduling.Offer support to the regional team, answering questions about HP tools (e.g., EEM, Procure 360, Smartsheet, MS Teams, Sponsorship requests, Workday).Remind the team of HP policies, such as amenity limits for public sector attendees in each country.Act as the point of contact for all interview-related questions from new candidates (e.g., prep work, process, tech questions).Assist with onboarding new colleagues, including GA&PP and HP processes, tools, habits, and repositories.Contract Management:Assist with the creation of new contracts and membership applications, ensuring the correct templates are used and documents are adjusted for specific cases.Review and forward contracts for further approvals, identify correct signatories, and manage internal and external processes.Ensure the final versions of contracts are stored centrally and monitor expiry dates, providing timely reports.Event and Meeting Coordination:Create cost forecasts and agendas for team face-to-face meetings.Research and present options for hotels, meeting rooms, catering, transportation, restaurants, and team-building activities.Make reservations and act as the central point of contact for all related topics for the regional lead, team, speakers, catering, and meeting rooms.Strategic Project Management:Manage strategic projects in close collaboration with the Strategy and Communications Manager.Develop project plans, timelines, and deliverables, ensuring alignment with regional objectives.Monitor project progress and performance, providing regular updates to senior leadership.Coordinate with cross-functional teams to ensure timely and successful execution of projects.Identify and mitigate potential risks or issues that may impact project outcomes.Qualifications:Proven experience in operations management or a similar role.Strong project management and organizational skills.Exceptional communication skills, both written and verbal.Experience supporting multiple stakeholders and managing complex schedules.Ability to handle confidential information with discretion.Preferred Qualifications:Experience in a global or multinational company.Previous experience in a role requiring significant interaction with senior executives.Strong problem-solving skills and the ability to work independently.Proficiency with HP tools (EEM, Procure 360, Smartsheet, MS Teams, Workday) and familiarity with company policies.Job -LegalSchedule -Full timeShift -No shift premium (Mexico)Travel -Relocation -Equal Opportunity Employer (EEO) - HP, Inc. provides equal employment opportunity to all employees and prospective employees, without regard to race, color, religion, sex, national origin, ancestry, citizenship, sexual orientation, age, disability, or status as a protected veteran, marital status, familial status, physical or mental disability, medical condition, pregnancy, genetic predisposition or carrier status, uniformed service status, political affiliation or any other characteristic protected by applicable national, federal, state, and local law(s).Please be assured that you will not be subject to any adverse treatment if you choose to disclose the information requested.
