We are committed to Diversity, Equity, and Inclusion and encourage talent from all backgrounds to apply.WHAT THIS PERSON WILL DOAnswer incoming calls and receive visitorsSchedule and coordinate meetings and appointments for the President and staff as neededOrganize office operations and proceduresAct as the point person for maintenance, mailing, shopping, supplies, office equipment, bills, and errandsPrepare agendas for meetings, schedules, and internal communicationsOpen, sort, and distribute incoming mail and deliveriesMaintain office supplies by checking inventory, sourcing items, and stockingAct as the project coordinator when necessary, as directed by the PresidentTrain and assist other team members on office equipmentWork closely with Human Resources for onboarding and other companywide initiativesPlan and coordinate local staff functionsAssist with data entry into company systemsAssist with invoicing, accounts payable, and expense reportsAll other duties as assignedWHAT THIS PERSON WILL BRINGInterest in office operations, executive administration, or developing similar skillsMust have a valid driver’s license for job-related errandsMust have a vehicle and proof of insuranceMust be 21 years of age or olderWillingness to occasionally work unconventional hours, as job duties demandAbility to handle confidential and sensitive information in a professional mannerAbility to communicate effectively in a team environment that includes in-person collaboration, group e-mails, and instant messagingAbility to work independently and solve problems using sound decision-making skillsExcellent time-management skills and the ability to change focus, meet tight turnarounds and important deadlinesExcellent organizational skills and attention to detailAbility to adapt and be flexibleCommitted to learning, and fostering an environment of diversity, equity, and inclusionAbility to learn and work within systems such as MS Office, project management software, and other company systemsPHYSICAL DEMANDS AND WORK ENVIRONMENTExtended periods of sitting at a computer station or work deskUtilization of hands and fingers to operate computers and office equipmentPerforms duties while standing and walking, including ascending and descending stairsLifts up to 20 poundsOccasionally crouches, kneels, bends, and reachesThis position is expected to work forty (40) hours per week or more.
