Job Summary:JOB DESCRIPTION - Receptionist Location: Athens, Greece Division: Ticketmaster Hellas S.A.Line Manager: Account Director of Ticketmaster Hellas S.A. Contract Terms: Permanent, 40 hours per weekTHE TEAMThe role will report to Account Director of Ticketmaster Hellas S.A., a proud division of Live Nation Entertainment, with more than 40 years of experience, is the world's leading live event ticketing company selling over 465 million tickets each year in over 29 countries worldwide.THE JOBDuties:Greet and welcome guests as soon as they arrive at the officeProvide stationery, drinks and biscuits or food on predetermined meetings with clients (after informed by Managers)Inform staff for necessary actions as needed or requested (e.g. basic information about the subscription to the gym, about the equipment of the kitchen, etc.)Control and supervise the cleaning company of the office and the open spaces (assigning them tasks as needed)Coordination of Kitchen for supplies, placing order for consumables, keep it clean when needed, etc.Inform security downstairs about scheduled appointmentsDirect visitors to the appropriate person and officeAnswer front desk phone calls and be the 1st filter by answering incoming calls that need basic call centre information (before forwarding them to the Call Centre if needed)Ensure reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures)Decorate the office as needed for different occasions: Celebrations, Parties, Halloween, Christmas, Easter, Summer, etc.Receive, sort and distribute daily mail/deliveriesAssisting COO as requestedOffice Management tasks – Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges, manage any office management systems, parking spaces for visitors)Communicate with Orbit management for maintenance and suppliesArrange travel and accommodations, in coordination with ManagersAssist HR with onboarding, offboarding and any other office initiatives (eg. long service awards etc.)Keep updated records of office expenses and costs as well as incoming/outgoing hardwareCoordinate internal and external corporate eventsPerform any ad-hoc administrative tasks e.g. distribution of event invitations, & gifts for events, shirts or other TM materials to staff, coordinate printing of Business Cards, registration participation for staff on Company’s runs, CSR activities etc, Casual day coordination, etc.Coordinate and distribute ticketing staff invitations per event, based on Company’s procedureProcurement tasks for accepting offers for gifts, cards, banners, etc and organizing the delivery of themAssisting in the Call Center basic administrative tasks (uploading the CC staff program in Ergani, assist on Zendesk answers in high traffic periods)LIFE AT TICKETMASTERWe are proud to be a part of Live Nation Entertainment, the world’s largest live entertainment company.Our vision at Ticketmaster is to connect people around the world to the live events they love.
