Executive Assistant - Maternity CoverJob Summary The Executive Assistant reports to two VP’s, supporting the function on the following tasks and responsibilities. Meeting and Event Planning/Preparation Organizes and attends meetings, as and when required Develops agendas and prepares meeting materials (such as presentations / reports) Co-ordinates stakeholders globally Organising appointments and meetings, this includes coordinating stakeholders across our sites in Europe and Globally Plans and organizes attendance to various board and management meetings Supporting the EMEA management team as and when required Admin Coordinates complex calendars Creating schedules for trips Booking travel; flights, cars, hotels etc. Communications Maintains confidentiality and deals with information that is highly sensitive Deals with correspondence, takes dictation / minutes Able to communicate clearly with the team and stakeholders Ensuring relevant internal and external stakeholders are aware of relevant commitments, and any documents required are received and distributed in a timely manner Screening telephone calls and emails, dealing with enquiries and requests, whilst handling them in an appropriate manner Special Projects Coordinates special projects as needed Budgeting and Expense Management Processes expense reports and POs and proactively manages to completion Manages departmental budgets Person Specification Confident and determined Articulate and assertive Strong interpersonal skills Focused and driven Flexible, adaptable and self-motivated A pro-active worker, ability to take initiative and work unsupervised Ability to cope in a rapidly changing environment and work under pressure Strong multi-tasking abilities A team player A friendly and approachable attitude to work 5+ years’ experience working at VP or Board Level Equinix is committed to ensuring that our employment process is open to all individuals, including those with a disability.
