Job Summary:Company: Live Nation (Music) UKDepartment: VIP Nation EuropeLocation: Farringdon, London and onsite working at festivals/tours around the UK and IrelandReports to: Director of Event ManagementWorking Hours: 40 hours per week, with unsociable hours, some weekends, and prolonged time on site during the summerContract Type: Fixed term until end of Sept 2024Role DescriptionWorking within VIP Nation, Live Nation Entertainment’s VIP Experiences business, and reporting to the Head of Event Management you will be responsible for the delivery and some advancement of VIP packages on our UK festivals and domestic tours. The range of experiences we offer is extensive,  boutique campsites, guest areas, early entry and meet and greets to name a few.This is an office-based role with some flexible / home working a possibility. Extended periods working away from home will also be required during the contract period. You will need to ensure the customer receives the product(s) advertised in full, on time and within budget, liaise with venues, suppliers, internal stakeholders and on occasion customers. Be prepared to recruit and manage teams of casual staff and suppliers on site as well as using the creative side of your brain for our bespoke activations.What we can offer youLive Nation offers impressive employee benefits including unlimited annual leave. We hold regular staff events in our atrium stage space including hosting speakers and open mic nights to showcase Live Nation employee talent.Who you areCompetencies / Skills / Knowledge / ExperienceExperience in working at festivals with an understanding of the long hours and unpredictable weatherPrevious experience in managing teamsThe ability to physically mark out from site plansFull driving license is strongly advantageousExperience in using Auto Cad software is a distinct advantageBasic understanding of Health and Safety requirements, including risk assessments and a familiarity with Event Management PlansExcellent verbal and written communication skillsProficiency in Microsoft applications especially Excel, and Word is essential.Experienced in the fulfilment of VIP events, preferably to individual consumers rather than a corporate entity.The candidate should be able to demonstrate writing and delivering briefings to an appropriate standard.Basic knowledge of food hygiene and alcohol licensing regulations would be an advantage.Previous experience in an admin heavy role is desirable.First aid training and or any plant licences is desirable but not essentialExcellent organisational skills and the ability to work on more than one project at a timeStrong interpersonal skills, with the ability to work effectively with customers, venue, suppliers, and stakeholdersBehavioursThe following attributes determine how the role will be carried out and are required to be a successNaturally methodical and detail-orientatedAbility to work accurately and effectively under pressure and to meet deadlinesAbility to work independently with a high level of personal responsibility and initiativeAbility to understand issues and to find solutions/ conflict resolutionAbility to build rapport and a calm and patient approachOutcome orientated and a logical thinkerWhat the role includesPre-Event FulfilmentProject delivery of specific festivals and domestic tours as designated by your line manager and advanced by an Event ManagerAs required you will ensure all goods and services are negotiated booked and confirmed per project with sustainability at the forefront of your thinkingUndertake site visits as neededPrepare and have approved all event site plans using Auto Cad (or similar) softwareUsing Salesforce; create purchase orders to confirm goods, equipment, and staffing On occasion actively source and recruit casual staff for eventsAgree and compile detailed production schedules and timings for letters/emails and itineraries.Co-ordinate logistical arrangements, liaising with relevant parties to ensure travel, equipment, goods and build and break schedules are adhered toCreate any risk assessments, H&S documents and Event Management Plans as requiredSource and deliver any creative elements associated with the projectMonitor sales and adjust accordinglyWork closely and communicate regularly with our finance team so they are aware of all costs and changes prior to settlement.Monitor and agree staffing levels as per the project.Compile and distribute briefing packs.Event Fulfilment This will include managing casual staff and contractors to ensure the build or tour requirements go to plan.
