The Sales Support serves as a strategic partner and advisor to the Director and the wider WW & EMEIA Education Sales , facilitating effective communication, coordination, and execution of organisational priorities. Keynote, WRIKE, QUIP skills will be beneficial Description Description The Sales Support Executive is a full-time office based role in Battersea supporting WW & EMEIA Education Sales is a dynamic and multifaceted position responsible for providing comprehensive support to the Education team leaders. This position involves managing administrative tasks, including calendar management, travel coordination, and communication management, to ensure seamless operations. Managing this successfully involves proactively anticipating priorities and balancing calendar requests based on the importance of stakeholders, partners and customers working with the Directors and the wider team. In addition, the person in this role needs to apply insight to the Director’s calendar to anticipate issues, bottlenecks and potential conflicts and resolve them as independently as possible.
The individual will play a pivotal role in preparing presentations, and coordinating meetings including curating agendas, minutes and action items. This involves working with country teams as relevant to source briefing materials, biographies, etc. so as to effectively prepare the director for key meetings.
Additionally, the role involves liaising with internal teams to contribute to strategic planning and execution. This means participating in senior-level meetings with total discretion, identifying key takeaways and following up with team members to ensure that actions are executed in a timely way.
The candidate will need a good understanding of sales processes in an indirect sales organisation, excellent organisational and communication skills, and the ability to prioritise tasks in the moment in a fast-paced environment.
This position offers a unique blend of executive support and sales assistance, requiring adaptability, attention to detail, and an ability to see around corners contributing to the overall success of the IT Sales team.
The role requires deep understanding of cross-functional priorities, key business stakeholders, and helps co-ordinate the team alignment, the ability to handle confidential information, manage executive calendars, coordinate travel arrangements, budgets and T&E provide strategic support taking the lead on country actions and deletion of requests across WW Geo’s. Another key activity is planning and running the team’s communication processes as a whole, in partnership with Field Marketing. This involves coordinating All Hands meetings, regular run of business meetings, and other key meetings/events. Part of the communication process should include defining team communication channels, appropriate cadence of communication and developing the appropriate materials with flawless and timely execution.
Specific Executive Admin responsibilities include (roughly equivalent to 25-30% of the job):
- Diary management for the Education leader Proactive Organisational Management for the Leadership
- Assist the WW Education team with general admin tasks Support the line management with operational support
- Organise travel for Education leader and his directs when required: flights, accommodations, cars, etc.. Full service support for travel and off site events
- Manage and submit expense reports for Education Leader Operational and expense support for the Directorship
Specific Cross Functional and Business Development activities:
- Schedule and attend key Leadership Team meetings (work with WW Education Director to define agenda, speakers, minutes and follow up activities) across time zones and markets globally
- Take the lead on driving projects like business Reviews (agenda, planning, preparation reviews)
- Support the broader Sales team on punctual business initiatives, group admin and projects
- Help synchronise answers for EMEA / WW business development projects
- Work on activities related to collaboration and team effectiveness.
- Create and coordinate any relevant documents such as keynotes, in preparation for events.
- Participate in business planning activities.
- Be the initial point person for Edu lead interaction, both in EMEIA and WW Geo’s.
- Ensure prioritisation around strategic initiatives for the Director
Team coordination responsibilities include:
- Support new hires and vendors onboarding, including scheduling induction meetings, ordering equipment, phones, and office IDs, etc.
- Coordinate selected on-site meetings, including room reservations (except EBC / training), catering, managing speakers and presenters schedules, etc. This is for both WW and EMEIA.
- Accounting tasks: raising purchase requisitions, Apple Own Use orders, Goods Receipts, creating new vendors, expense reports, etc.
- Liaise with Finance to maintain equipment inventory, and assist with new equipment purchases/upgrades.
- Assist visitors as required.
- Support the Education leader in the coordination of the WW Education Team and in general with other key stakeholders (Other Central Sales teams, Operations, Finance…)
- Team socials , events and activity co-ordination. Education & Experience Education & Experience Proven experience as an executive assistant, business manager, sales support or in a similar role.
