The Vendor Exceptions coordinator role plays a huge impact in the overall success of the flow of product throughout the pipeline. In this role you will work closely with our partners in Vendor Sales, FJW, and photo. You will oversee the flow of all Vendor items throughout the FJW pipeline to maintain and drive SLa as well as resolve all Exceptions on a daily basis.
What You Get To Do Every Day
Supplies/Inventory Maintenance
Collect all supplies including bubble mailers from the Dock area that are needed to ensure the Receiver can process efficiently
Review all landed packages ensuring the CIDs are uploaded correctly in Dior before handing packages to the receiver
If CID is not uploaded, send email to the BDM/VC requesting upload as soon as possible
Review Daily reporting to monitor queues and backlog of each department
Review FJW & Photo queues and investigate any lingering units falling outside of SLA that need to be expedited
Collaborate with FJW coordinators, and photo leadership to locate and expedite all dated units
Scan all units for cycle count weekly to ensure item traceability
Exceptions
Monitor Exceptions rack throughout the day to review items for next steps
Exceptions include: Additional units, shortages, pricing adjustments, and Rejections
Communicate all Exceptions via email to the Vendor sales team. (BDM/VC)
Emails consist of photos of the item, including a detailed explanation as to what the issue is
After communicating the Exception, place item on pending Exception rack (L12-FJW-VNDR-EXC-01)
Once follow up is received from the Vendor Sales team - resolve Exception based on their response
Additionals - Add in / RTC
Shortages - Confirm item was not sent, or will be shipping separately
Pricing Adjustments - Proceed with adjustment / RTC
Rejections - Confirm RTC address for shipment / and follow up questions
Review and document all Rejected units on the RTV Doc
Include address confirmation and Rejection reason for all units
Once the address is confirmed, units are ready to be shipped out with close attention detail
Partner with the Dock team to ship all units in a timely manner and include a packing slip for each parcel
Once shipped, follow up and confirm tracking numbers with the BDM/VC.
Scanning/Transfers
Scan all units Ready for photo once completed by FJW Specialists.
Pull all Children units aside for review.
Transfer all Ready for photo Parent skus to photography.
Review each child sku to ensure that the unit has not been ungrouped. Once confirmed, scan all child skus to restock and transfer all units to the restock cage for Putaway
When mixed CIDs come in, ship any items not FJW (accessories) to Perth to be processed
Review incoming transfers from Perth to have units processed
What You Bring To The Role
Minimum Requirements:
Minimum 1 year of experience working in ecommerce warehouse or production setting, achieving hourly quotas
Strong leadership aptitude and a desire to grow into a management role
Ability to work well independently, but lead by example in a team environment
Outstanding oral and verbal communication; comfortability with cross functional communication
Positive and encouraging demeanor with ability to motivate others
Ability to read and understand KPIs and Looker reports
Great time management skills and ability to prioritize daily tasks
Strong attention to detail, highly motivated, and proactive
Internal candidates must have positive KPI’s and productivity metrics
Preferred Requirements:
Proficiency with Mac OS, Google Suite
Leadership experience
The expected hourly rate for this role is $19.50 - $19.50. To determine starting pay we carefully consider a variety of factors, including primary work location and an evaluation of a candidate’s skills, experience, market demands, and internal parity. Additionally, salary is just one component of TRR’s total rewards package. Depending on role, employees may also be eligible for a bonus program, incentive pay and benefits.
