Your tomorrow looks bright at Ubiquity.Your Role:Join us!The details.Day-to-day responsibilities:Responsible for front desk processes; including, but not limited to; greeting visitors, answering main phone line, accepting deliveries.Partners with Talent Acquisition team, Operations and local community partners in recruiting and engaging prospective candidates for employment.Provides coordination and guidance to prospective candidates with application process, assessments, pre-hire processes and document management. Manages the preparation for employee new hire orientation.Performs administrative support activities for the site; document creation/editing, meeting and schedule management, filing, copies, bill payments, as directed.Checks all new hire paperwork for timeliness and completion.Ensures employee documentation is uploaded into Workday and other designated electronic systems.Supply management; responsible for inventory tracking, supply ordering, restocking, and organization of supply room.Vendor relationship management; work with building management, calls for service, vending machines, copiers, communication to site regarding service events. Maintains employee digital messaging boards and other internal communication channels.Assists with planning and preparation of employee engagement activities.Assist with miscellaneous project-based and event-based duties.Ideal candidates have:High school diploma or equivalent required.Outstanding interpersonal and communication skills including the ability to convey messages in a professional manner. Exceptional organizational skills including a strong attention to detail.Advanced proficiency with PC navigation and ability to work effectively with proprietary, web-based tools. Experience with Google suite preferred. Microsoft office suite experience required; Excel, Word, and PowerPoint.Ability to read, write, speak and understand the English language in a business environment.Ability to maintain highest level of confidentiality.Two years previous administrative support experience preferred. Ability to perform light industrial tasks with minimal supervision or assistance.
