You will be a strong team player, dependable, reliable and exercise strong judgment in determining priorities related to calendar management, travel and meeting schedules, routine reporting, projects and correspondence. You will assist with the coordination of projects, budgets, timelines, and metrics, generating reports and correspondence as assigned. The role will involve executive-level contact globally in a fast-paced and dynamic business environment.Why youAs our Administrative Coordinator, you will require strong organisational skills and be able to flex between tasks within a fast-paced environment. You will be collaborative with our Core R&D team and support our Administrative Partner with a passion for planning/quality.Responsibilities include Support Core R&D teams within the Illumina Centre/EMEA RegionReport and work closely with Core R&D Administrative Partner to support daily tasks and provide back-up when requiredProduce accurate, creative and timely materials using Microsoft Office (Word, Excel, PowerPoint)Provide project support and administration to cross-functional teamsCreate and maintain team distribution lists and department intranet pagesSupport and contribute to creating a high performing team, facilitating good cross-team collaborationFile expense reports with accuracy and efficiency for team members, including follow-through to ensure that appropriate and timely actions are takenGenerate reports from various internal systems under tight time constraintsProduce memos, letters, reports, slide decks, etc. and assist in compiling business review agendas, notes, etc.Support with multi-location domestic and international travel arrangements as well as live and virtual meetings/conferencesDevelop and build strong business partnerships across various departments, functions,Preferred background, skills and experienceSome experience within an administrative role supporting complex projects and multiple functional teams/leaders would be an advantage.Relevant training, multitasking skills, certifications in software and time management experience would be a plus.Proficiency in Microsoft Office Suite including Microsoft Teams and SharePointStrong communication skills, written and verbal along with strong people skillsAbility to interact confidently with executives and employees at all levelsAbility to prioritize time critical assignmentsExperience working in a fast-paced global environment balancing competing priorities would be an advantage.Some experience providing a high-quality support service, working proactively and independently without day-to-day directionExperience handling sensitive information in a confidential and discrete mannerExcellent organization skills and the ability to manage multiple projects or tasks simultaneously and efficiently, identifying high priority and urgent tasks for immediate action so that all activities are completed accurately and on timeDemonstrate flexibility and adaptability to meet changing business demands.Demonstrated proficiency with a variety of virtual meeting technologies, information management software, and Microsoft products would be an advantage.What can you expectWith Illumina you can expect a highly competitive salary accompanied by a market leading benefits package.
