We hold an annual Dodgeball for Charity event at our Q2 Stadium in Austin, inviting other local companies to play, and community organizations we support to raise money and awareness together.The Job At-A-Glance:The Executive Assistant will support 3 executives including the Chief Development Officer and will perform a broad range of operational, office administration and executive support-related tasks.  The Executive Assistant will partner with the Chief Development Officer and his staff and will effectively interact with staff (at all levels) in a fast-paced environment, often under pressure, while remaining flexible, proactive, resourceful, positive, and efficient. This role reports to the Chief Development Officer.A Typical Day:Provide high-level/confidential administrative support to ExecutivesSchedule and coordinate executive meetings; cross-department meetings, company meetings and training sessions both on and offsite, oftentimes drafting and/or editing executive communications, agendas, and presentation materials; ordering refreshments and recording, transcribing and distributing minutes of meetings as neededSetup and manage travel for the executives including both domestic and international travelCalendar management for the executives while coordinating all logistics for the meetings and efficiently resolving conflicts working with other Executive AssistantsManage expense reports for executives, administrative staff and company committee expendituresCollaborating with other Executive Assistants within Q2 to drive consistency and efficient operationsCollect and prepare information for use in discussions/meetings of executive staff and external individualsCollect and prepare presentation materials for Board of Director meetingExercise judgment within generally defined practices and policies in selecting methods and techniques for obtaining solutionsEvaluate and modify current processes or create new processes to increase efficiencies and lower expensesMaintain structured records management procedures for hard and soft copy filings of client contracts, legal, due diligence, and corporate documentsEnsure adherence to all security, confidentiality and privacy policies and controlsWillingness to work weekends and monitor emails in off-hours, as neededAbility to be onsite at Q2’s Austin, TX headquarters Other projects as assignedBring Your Passion, Do What You Love.
