Job Summary:Want to work for a company that rocks? FPC Live is now recruiting an Event Logistics Manager to join our Special Events Department. This role will oversee rental operations at your favorite concert venues in Madison, WI. This includes corporate functions, weddings, fundraisers, and more at The Sylvee, Majestic Theatre, High Noon Saloon, and The Orpheum Theater. The ideal candidate will have strong project management skills to provide a smooth and efficient process of an event. We are committed to Diversity, Equity, and Inclusion and encourage talent from all backgrounds to apply.WHAT THIS PERSON WILL DOResponsible for logistical execution, servicing, and detailing of assigned Special EventsServe as the liaison between clients and other relevant FPC Live team members throughout the planning and event executionProvide guidance through planning discussions with clients that may involve on-site walkthroughs, phone and video callsProvide additional services for weddings, including itinerary building, rehearsal management, and day-of coordinationResponsible for advancing, communicating, and managing logistics for successful events, such as setup needs, tech capabilities, and unique considerationsBuild necessary per event staffing summary and relay to managers for schedulingCoordinate with outside vendors for delivery, setup, and departureWork closely with the Event Sales Manager to oversee bar needs per eventBe present on-site for the majority of events to assist, direct, and ensure all details are being carried out as plannedConduct event pre-shift meeting with other team leads to communicate event specificsServe as the on-site supervisor to team members when assigned managers are not presentResponsible for collecting in-event content for marketing efforts and post-event reviews and photo/video content from contracted vendorsAssure seamless transition for client from Special Events Department to Venue Operations, as appropriateResponsible for completing the appropriate reports with assistance from other on-site managersManage preferred vendors list through building and maintaining relationshipsRegularly participate in venue operations and special event team meetingsMaintain a working knowledge of available sales options and of building operations for all area venuesAll other duties as assignedWHAT THIS PERSON WILL BRINGApplicable experience in project management, venue operations or event hospitality executionPrior management-level experience preferredEvents designation such as CPCE or CMP is a plus, but not requiredWillingness to work unconventional hours as job duties demandExcellent written and verbal communication skills, as well as ability to navigate conversations involving multiple stakeholders with tact and diplomacyExcellent organizational skills and attention to detailAbility to communicate effectively with external and internal teams that includes in-person collaboration, group e-mails, and instant messagingExcellent time-management skills and the ability to change focus, meet tight turnarounds, and important deadlinesAbility to work independently and solve problems using sound decision-making skillsAbility to adapt and be flexibleProfessional and friendly demeanorCommitted to learning, and fostering an environment of diversity, equity, and inclusionProficient with Microsoft Office and the ability to work in relevant softwarePHYSICAL DEMANDS AND WORK ENVIRONMENTExtended periods of sitting at a computer station or work deskPerforms duties while standing and walking, including ascending and descending stairsUtilization of hands and fingers to operate computers and office equipmentLifts up to 20 poundsCrouches, kneels, bends, and reaches frequentlyRegularly exposed to large crowds and high volumes of noiseOccasionally works in outdoor conditionsRequires extended work hoursThis position is expected to work forty (40) hours per week or more.
