The Office Coordinator is responsible for developing intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation. This is a full-time, office-based positionWhat You'll Do:The individual will be the first point of contact for visitors, greeting and welcoming guests to the site, directing them appropriately and notifying company employees of the visitor arrival.Maintains security by following procedures; monitoring logbook, issuing visitor badges such as activation and biometric coordinationPoint person for maintenance, mailing, shipping, supplies, equipment, billing and errandsOrganize and schedule meetings and appointmentsPartner with HR to maintain office policies as necessaryOrders supplies for the entire office; including but not limited to snacks/supplies for break area, & mail supplies.Coordinate with IT department on all office equipmentMonitor and maintain office equipment in partnership with the facilities department (printers, shredders, etc.).Manage relationships with vendors, service providers and landlords, ensuring that all items are invoiced and paid on timeManage contract and pricing negotiations with office vendors and service providers.Provide general support to visitorsResponsible for managing office services by ensuring office operations and procedures are organized, correspondences are controlled, filing systems are designed, supply requisitions are reviewed and approved and that clerical functions are properly assigned and monitoredEnsure office efficiency is maintained by carrying out planning and execution of equipment, procurement, layouts and office systemsEnsure the results are measured against standards, while making necessary changes along the wayParticipate actively in the planning and execution of company events/parties/gatheringsOrganize and introduce new staff members to the officeMonitor and maintain office supplies inventoryMaintain a safe and secure working environmentAdhere to CrowdStrike security platform.
