You are dedicated and resourceful, have a customer-service mentality, and demonstrate extraordinary attention to detail and professionalism in all interactions. Then you should apply today.Responsibilities:Executive Support:Organizes meetings and develops agendas and meeting materials (such as presentations and reports) as needed.Plans and organizes business unit special events.Liaise with stakeholders such as suppliers or landlords.Maintains confidentiality and deals with information that is highly sensitive.Coordinates special projects as needed.Manages departmental budgets.Processes expense reports and POs and proactively manages to completion.Coordinates complex calendars.Makes travel arrangements as needed.Office Management Support:Manages day-to-day office operations, including administration, kitchen and supply stocking, booking conference rooms, postage/shipping, office inventory, organizing workspaces, andfacilities improvements.Organizes office workflow by scheduling and coordinating staff, communicating essential information, and organizing/planning meetings and events with internal and external parties. Manages company reception to ensure timely and tactful telephone, email, face-to-face, and mail communications with internal and external contacts at all levels.Develops, implements, and documents administrative systems to be followed by staff.Maintains an updated contact list of office vendors and tracks service requests and purchase requests to ensure the provision of efficient and cost-effective services.Assists in developing and maintaining well-organized administrative files.Ad hoc duties as required and accompanying MD to data center and various sites for meetings when required.Qualifications:Significant experience working as an Assistant or Executive Assistant or similar role supporting C-Level Executives.Ability to prioritize and re-prioritize in a dynamic environment.Highly organized and detail-oriented with an ability to work on your initiative.Ability to execute tasks and make decisions with little supervision.Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.Standout colleague with a customer service focus and the ability to relate to employees with a wide variety of personalities and functional expertise.Experience working in a culturally diverse and global company is a plus.High level of professionalism and a strong ability to relate to people of all business levels.Understanding of project management and the skills needed to forecast and plan ahead.Effective interpersonal communication style particularly with Board members, executives and senior level staff.Passionate, enthusiastic, team player, with good judgment and an ability to work in a fast-paced environment and adapt quickly to changing needs and priorities; proven ability to prioritize and manage multiple tasks simultaneously with little direction.Excellent written and verbal communication skills.Project Management experience will be an advantage.Equinix is committed to ensuring that our employment process is open to all individuals, including those with a disability. If you are a qualified candidate and need assistance or an accommodation, please let us know by completing this form.Equinix is an Equal Employment Opportunity and, in the U.S., an Affirmative Action employer.
