Job Summary:Company: Festival Republic (EP Republic Ltd.)Event: Electric PicnicLocation: Bord Gais Energy Theatre, Grand Canal Dock, Dublin 2Reports to: Licensing CoordinatorWorking Hours: Full time. Additional hours and weekend work will be required throughout the festival season.Contract type: Fixed term until Oct 2024.Role DescriptionThe Licensing Assistant role is predominately administrative, providing support to the Licensing Coordinators and is therefore a key part of the planning team for the events. The main aim is to assist in completing tasks and meeting deadlines for each of the events.What the role includesAssisting the Licensing Coordinator with the licensing of the event.Assisting with writing and updating the Event Management Plan and associated appendices along with other key submitted documents.Assisting with the compliance of the event with all licensing and legal obligations as well as all other commitments made and the implementation of policies.Assisting with statutory and non-statutory local agencies (eg garda, fire, ambulance service, landowner, environmental health, emergency planning, etc)Assisting with the operational planning of the event in relation to traffic management, security, security coordinators, eviction team, accessible customers, onsite medics, fire safety team, welfare team, volunteer stewards, lost property, noise consultants, structural engineers, complaints, debriefs etc.Assisting with quotes and updating cost spreadsheets on an ongoing basis as delegated.Sending out confirmation letters to contractors and ensuring that any additional documentation required as a condition of contract is included.Collating all Licensing contractors’ and staff requirements onsite.Ensuring all contacts for the show are updated and circulated.Feeding into the production schedule throughout the planning process and ensuring all contactors and staff arrival and departure details are included on it as well as licensing conditions and agency meetings.Dealing with accounts queries – checking purchase orders, details of payments and agreed terms, investigating problems.As delegated collecting contractor debriefs and passing to Licensing Coordinator for collation.Working onsite in the Licensing office.Who you areExperience in the following roles is preferable: Festival / Event Assistant; Administrative supportCompetencies / Skills / Knowledge / ExperienceExcellent written and verbal communication skillsExceptional attention to detailOrganisational and administrative skillsKnowledgeable in Microsoft Office programs including Word and ExcelAbility to work as part of a teamDemonstrable aptitude for:Detailed workJoined up thinkingAbility to prioritise and meet deadlinesWorking under pressure / in a pressurised environmentBehavioursThe following attributes determine how the role will be carried out and are required to be a successLevel-headedAccuracyJoined up thinkingAbility to prioritiseProactive approach to problem solvingEqual OpportunitiesWe are passionate and committed to our people and go beyond the rhetoric of diversity and inclusion.  You will be working in an inclusive environment and be encouraged to bring your whole self to work.  We will do all that we can to help you successfully balance your work and homelife.  As a growing business we will encourage you to develop your professional and personal aspirations, enjoy new experiences, and learn from the talented people you will be working with.  It’s talent that matters to us and we encourage applications from people irrespective of their gender, race, sexual orientation, religion, age, disability status or caring responsibilities.The CompanyFestival Republic is part of Live Nation Entertainment which is the world’s leading live entertainment company comprised of global market leaders: Ticketmaster, Live Nation Concerts, LN Media and Artist Nation Management. APPLICATION DEADLINE: 22ND JANUARY 2024.
