Reporting directly to the Manager – Global Real Estate and Security Operations, office managers will work cross-functionally with senior leadership and multiple departments to be responsible for a broad scope of administrative, logistical, and office procedures. The ideal candidate is highly self-motivated, professional, maintains a positive attitude, capable of managing multiple priorities within a fast-paced corporate environment. Essential Functions:Facilities Planning & Management: Oversee contracts for facilities services, including cleaning, maintenance, and security.Address any facility-related issues promptly and efficientlyCollaborate with external vendors and contractors to ensure the office's functionalityUnderstand and utilize technology systems for guest and facilities management; may support training of internal users on guest and space management toolsMay serve as primary POC/ lead on projects in partnership with project stakeholders Manage inventory and order office supplies efficientlyNegotiate with vendors to secure cost-effective agreementsMaintain supply budgetsAnalyze office space requirements and make recommendations for improvementsCoordinate office layout changes, including furniture arrangements and space allocationOptimize space utilization for maximum productivityFinancial & Administrative: Maintain records, files, and documents related to office managementCoordinate internal and external communicationsContribute to and manage the office budget, monitoring expenses and cost-saving opportunitiesSubmit invoices for processing and track expenses related to office facilities Collaborate with HR and other stakeholders to assist in onboarding and offboarding processes•    Foster a positive and productive work environment for all employees•    May support other administrative tasks as neededSpecial Projects: Support and manage special projects related to office infrastructure and facilities improvementRecommend budget and plan for renovations or office expansions for reviewEnsure compliance with health and safety regulations in partnership with stakeholdersProvide facilities and logistical support for internal nCino events in conjunction with appropriate stakeholders. May include in office socials, nVolve and community activitiesQualifications:Required:High school diploma / associates degree, 4+ years of office management and facilities oversight experience,  or a combination of equivalent education and experienceStrong organizational and multitasking skills with ability to manage multiple priorities concurrently.Excellent communication and interpersonal skills.Proficiency in using office and guest management software and tools.Ability to work independently and as part of a team.Ability to mentor, guide, lead others Project management/ coordination skills Health and Safety certification standards as required by local regulation  Desired:•    First Aid Certification•    Fire Safety Certification•    DSE Certification (EMEA)Travel•    This role will require up to 10% travel. nCino retains the right to change or assign other duties to this position as business operations require.
