This position is onsite, reporting to a divisional General Manager (“GM”).This Executive Assistant position provides high-level, dedicated administrative support to the Vice President (VP) of Central Engineering Services and plays a critical role in supporting the executive(s) in all day-to-day activities. The Executive Assistant will manage the day-to-day business activities of the GM and senior staff, including providing strategic management of schedules, coordinating meetings with internal and external contacts, tracking and processing the GM’s expenses, arranging complex travel, and supporting other critical initiatives. They will also support the site GM and site leadership team with site related items. The ideal candidate is a self-starter with careful attention to detail and a process-improvement mindset. Key ResponsibilitiesDivisional SupportCoordination and support of GM’s weekly staff meetings including scheduling, setting agendas, and coordinating conference equipment. Travel AssistanceSupporting GM and direct staff with travel arrangements and planningSupporting GM and direct staff with travel expense reportsEmail and CalendaringManaging GM and direct staff’s calendars and meeting arrangementsMaintaining Divisional Email listsMaintain and update office phone lists, email distribution lists, and other similar systems.Workplace and Office Management: Working with WorkPlace Services (WPS) to manage employee space planning.Auditing and maintaining Space Assignment database with WPS.Reporting and tracking maintenance issues to WPS and Security.Monitoring and maintaining inventory of necessary office supplies; order supplies as needed to keep basic supplies stocked, and to fulfill special requests from staff.Work with the site leadership and other off-site leaders with day to day site related items.This position will often communicate on behalf of the executive(s) and must use exceptional communication skills. This position serves as the point of contact for administrative support between the executive(s) and all internal and external positions. Must also communicate and interact effectively with administrative peers, mentors, management, guests, vendors, visitors, and contacts at all levels of the organization. This position is expected to maintain confidentiality due to the exposure to company proprietary and company strategic information. This position is also eligible for a discretionary annual bonus in accordance with relevant plan documents.
