As the Executive Assistant to the CEO you will report directly to the CEO and support one additional C-suite executive with a broad scope of administrative tasks and logistics. This includes preparation for board of directors and investor relations meetings, proactively managing calendars and travel needs of both executives, coordinating meetings and necessary catering. The Executive Assistant to the CEO serves as a point person to all executive assistants for administrative escalations and ensures backup resources are met during out of office needs to ensure uninterrupted continuation of support. This dynamic role requires the ability to anticipate needs, communicate clearly verbally and in writing, balance tactical duties with strategic planning activities, demonstrate leadership and collaboration across the executive assistant cohort and provide a consistently high level of professionalism and confidentiality. Key Responsibilities: Activities will be applicable to both CEO and one other C-Suite leaderActively manage ("own") calendars: Prioritize inquiries and requests while troubleshooting conflicts; ensure adequate focus-time towards company objectives; make judgements on recommendations to ensure smooth day-to-day arrangements. Communication management: Manage email to ensure appropriate follow up – coordinate responses as needed in a timely manner. Strategic meeting support: Arrange and handle logistics for key customer meetings, board meetings, company leadership meetings, and events; schedule meetings, ensure agendas are prepared; assist in developing and distributing presentation materials. Travel management: Arrange and manage travel schedules for customer meetings and company business, ensuring hotels are prepared for arrival on time, create consistent travel itinerary portfolios for reference and be available during travel times to quickly address any last-minute changes or cancellations. Coordinate plane usage through nCino’s Delta Private Jet program. Coordinate and facilitate a broad variety of administrative tasks to enable the leader’s focus. Assist with special projects, compose, and prepare email correspondence; maintain contact lists; manage travel and entertainment expense submissions. Serve as a primary point of contact for the other company executive assistants. Coordinate monthly meetings with cohort to ensure alignment across the cohort and surface any needs that may need to be escalated for resolution. Serve as point of contact to coordinate back-up support during the absence of a cohort member.Serve as the primary point of contact to leaders. Including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgment, as appropriate. Ensure executive(s) are well informed of upcoming commitments and responsibilities, following up appropriately. Anticipate needs in advance of meetings, conferences, etc. Maintain open communications with the executive leadership team and their administrative team members. Serve as primary point of administrative escalations and lead resolution efforts. Coordinate meetings and retreats for executive leadership team and assist with staff meetings and events.Foster and support relationship: Follow up on contacts made to cultivate ongoing relationships. Invest in supporting long-lasting relationships both externally and internally. Skills and Requirements: Bachelor's degree or equivalent experience in business administration or a related field or equivalent education and prior experience 5+ years in a progressively responsible administrative support role supporting senior level executive(s) Proactive engagement and proficiency in calendar, schedule, and resource management Ability to prioritize the executives’ deliverables based on developing understanding of underlying business needs Self-starter, ability to complete a high volume of tasks and projects with little or no guidance Track record of building relationships and ability to align closely with other company leaders and their administrative partners Excellent proficiency in Excel, PowerPoint, or similar Exceptional organizational skills and impeccable attention to detail Exhibit sound judgment and decisiveness while anticipating problems and taking initiative High degree of professionalism and personal neutrality while dealing with diverse groups of people, including board members, senior executives, customers, investors, etc. Able to maintain a high level of integrity and discretion in handling confidential information Desired: Banking experience and/or knowledge Coordination of directing work activities and leading others Physical Demands and Working Environment:The conditions herein are representative of those that must be met by an employee to successfully perform the essential functions of this job.
