What you will do
Manage the day-to-day operations of the office
Oversee and coordinate administrative tasks and procedures
Maintain office supplies and equipment inventory
Handle incoming and outgoing correspondence
Manage the front desk, including greeting visitors and answering phone calls
Assist with training for new employees
File and organize documents, both physical and electronic
Coordinate meetings, parties and events
Ensure conference room technology is functioning
Ensure office policies and procedures are followed
Coordinate with building management to coordinate safety events (fire drill, building repairs, etc)
Manage logistics for office vendors – deliveries, set up, break down, building work orders as they relate to office operations
Ensure that office operations are conducted in a manner that promotes safety and complies with all federal, state, and local laws, regulations, and codes
Act as company liaison to all outside vendors in the area of office operations (shipping and logistics, office cleaning, supply ordering, etc.)
Ensure the office has the amenities and facilities to enable employees to be productive and efficient while maintaining and reinforcing the culture of the company
Monitor expenses and purchase order activities related to facility operation items, and participate in quarterly and annual budgeting processes
Participate in ad-hoc projects as needed and requested
Maintain the highest level of confidentiality
What you will bring with you
Proven experience as an Office Manager or in a similar role
Proficient in budgeting and financial management
5+ years of experience in operations, facilities, and space planning
Experience in events planning and coordination
Excellent communication and interpersonal skills
Ability to multitask and prioritize tasks effectively
Knowledge of medical a plus (CPR, first aid, etc)
Energetic and enthusiastic personality.
Extreme time management and organizational skills
Knowledge of commercial property management, including building operations, tenant relations, leasing, contract services, coordinating tenant improvement construction projects
Ability to be in the office Tuesday through Thursday (Monday and Friday for certain occasions).
Detailed-oriented, with strong project planning and time management skills
Flexible team player, with a track record of reliability and strong interpersonal skills
Upholding confidentiality and discretion are paramount and having a friendly demeanor and an ability to work with various personalities.
Ability to lift approximately 20-40 pounds

The U.S. annual on target earnings (OTE) range for this full-time position is between $59,000 and $74,000 year. This range represents a combination of annual base pay and targeted commission. Actual offers may be higher or lower than this range based on a variety of factors, including (but not limited to) the candidate’s work location, job-related skills, experience and education.
