Order Management Specialist Department: Purchasing/Supply ChainLocation: Pune, IndiaWorking Hours: US Hours (flexibility required)Position Overview:The Order Management Specialist will be part of a diverse team responsible for multiple facets of data management for Plug Power Inc.’s supply chain order management processes. These Specialists will manage the end-to-end sales order process, from order placement to delivery, while providing exceptional support to the US Sales and Planning teams. This role will also support the US Logistics and Procurement teams by managing 3PL transactions, executing transit damage claims, managing finished goods movements in multiple systems and other Logistics Administrative tasks as needed. The ideal candidate should have strong organizational skills, excellent communication abilities, and a customer-centric mindset to ensure smooth customer experiences. Role will be required to maintain pricing and discounts, manage customer prioritization, order configurations, lead time commitments, and conduct root cause analysis when 3PL inventories show variances. Strong emphasis on managing customer expectations and communications regarding updates surrounding timelines, delivery, and invoicing based on feedback from operations, sales, and supply chain.Core Duties and Responsibilities Sales Order Management:Process sales orders received from the Sales team promptly and accurately while collaborating closely with Planning to ensure prompt order fulfillment and timely delivery of products.Manage and oversee the orders email inbox and maintain detailed and up-to-date records of customer orders, including order changes, cancellations, and returns.Monitor customer order patterns and propose efficiency enhancements when appropriate.Serve as a primary point of contact for the Plug Sales team, addressing inquiries and providing friendly, precise phone and email assistance for order-related support; including but not limited to addressing customer inquiries, resolving order discrepancies, and providing updates on order status.Work closely with the Planning team to prioritize and allocate available inventory based on customer demand, then monitor order progress and proactively communicate any changes, delays, or issues to the Sales team and customers.Core Duties and Responsibilities Logistics/Procurement Order Management:Process receipts for Plug 3PL deliveries, both internal (warehouse to warehouse) and from our external supplier base when confirmations are provided.Perform weekly reconciliations of 3PL inventories using internal inventory valuation reports and inventory lists provided by 3PL partners. Conduct deep dive root cause analysis if variances are found and drive corrective actions to ensure inventory accuracy is maintained.Collect information and execute logistics transit damage claims when reported across all business units at point of delivery. Ensure claims are properly processed and closed out in a timely manner.Process Gendrive BOL data into the MES Tulip software live and input HTS codes into Avante. •Process Liquefaction and Electrolyzer equipment BOL data into the ALA and Smartsheet software in real time.Maintain detailed and up-to-date records of logistics data including tariff codes, GenDrive, Liquefaction and Electrolyzer equipment shipments, including but not limited to shipment changes, cancellations, and returns.Serve as a primary point of contact for the Materials, Logistics and Procurement team to address inquiries and providing friendly, precise phone and email assistance for order-related support; including but not limited to data collection efforts and maintenance, resolving shipment discrepancies, and providing updates on shipping statuses.Core Duties and Responsibilities Shared:Work with multiple system platforms, including but not limited to Avante, SAP, Tulip, Microsoft TEAMs, Smart Sheets, Lists, Excel, and the ALA Oracle based Transportation Management software.Coordinate with cross-functional teams, such as Planning, Procurement, Logistics, Production, Inventory Control, Project Management and Finance, to resolve all order management related issues and ensure accuracy consistently.Obtain a strong understanding of product offerings, pricing, and shipping and delivery terms to address customer and support teams questions accurately and efficiently and help identify opportunities for process improvement and propose solutions to enhance Plug Power Inc.’s order management efficiency.Other administrative tasks as required.Requirements:Associate’s degree in supply chain management or a related field or equivalent experience required, Bachelor’s degree preferred.4 to 5 yrs of experience.Previous experience in sales order management, customer service, or a similar role is preferred.Strong organizational skills with the ability to manage multiple priorities and meet deadlines.Excellent verbal and written English communication skills, with the ability to effectively interact with both internal teams and external customers.Detail-oriented mindset with a focus on accuracy and data integrity.Proficiency in using sales order management software, Microsoft products, and enterprise resource planning (ERP) systems.Ability to work collaboratively in a team environment and build positive relationships with internal and external stakeholders.Strong problem-solving abilities and a proactive approach to resolving issues.Customer-centric mindset with a dedication to providing exceptional service.Familiarity with relevant industry regulations and standards is a plus.Estimated Base Salary Range:₹0.00 - ₹0.00
