This full-time position is based out of our Boulder office and will report to the Sr. Manager of Americas Operations. This is a key position overseeing several field offices of our North America Workplace portfolio. You will work closely with multiple departments and Site Leaders to ensure we are meeting our company standards while maintaining our Workday culture and ensuring the employee experience is a positive one. Our goal is to ensure Workday offices around the globe are welcoming, productive environments for our Workmates and visitors alike.Responsibilities Manage multiple office locations in North America, including hiring, mentoring, and assisting in the professional development of the teamCollaborate with other Workplace Operations management team members to ensure department goals and field office standards are consistent and metEnsure all aspects of employee engagement is focused on creating a phenomenal work environment that draws workmates into the officeResponsible for operational budgets for the offices in your purview, meeting with the Workplace Finance Business Partner monthly to conduct budget reviews and reconciliationsResponsible for monitoring space utilization of each office within the region and communicating usage insights and headcount projection changes to the Occupancy Planning teamWork closely with project teams, vendors and contractors during construction and/or BT projects upgrades, to assist with operational feedback, communications and liaison to coordinator/office stakeholdersAttend projects space planning review sessions, field office standards reviews, and construction meetings throughout the project including final punch walks and closeoutsOversee and assist the team to ensure each office is running smoothly, efficiently and at a high service levelEnsure all preventative maintenance is scheduled in a timely fashion and that all service requests are optimally and expeditiously handledConduct monthly space audits to ensure the office is well maintainedOversee and partner with the Workday Employee Life programs for your assigned locations to plan events and initiatives which foster positive employee experiences including, but not limited to, Employee Programs, Giving and Doing, Global Impact, and Belonging and DiversityAssist Sr. Manager of America's Operations in building strong internal relationships with Workday office employees, Workplace Operations (including Food & Beverage team), Real Estate & Projects teams, office Site Leaders, BT department, Employee Life , etc. Collaboration with these groups is imperative to the successful support of the entire Workday communityAssist in the generation and review field office surveys and provide effective responses for space openings with quarterly check-ins to make sure we are listening and responding to the needs of our workmatesPartner with site-specific property managers to make certain that the service to leased buildings is in keeping with Workday standards and contractual obligationsMaintain and build relationships with site-specific vendors and contractors (e.g. janitorial, amenity providers, events groups, building security staff)Coordinate and supervise your team in new field office setups inclusive of moves/adds/changes including the contracting for moving servicesCoordination with property management to meet their guidelines for allowable access hours, access to loading docks and freight elevators, etc; following new office move documents to arrange vendor setups for all services, Certificates of insurance are obtained and meet building requirementsService providers are contracted e.g., shredding services, snack program, office supplies, kitchen/breakroom setup, first aid cabinets, AEDs, fire safety (extinguishers)Coordination with projects team to make certain furniture delivery and setup is on scheduleProviding vendor access badges, Global Safety and BT Network Operations are notifiedAct as operations representative for punch list walkthroughs and documentation as appropriateAbout YouBasic Qualifications5+ years of facilities, workplace operations or customer service industry experience, preferably in a fast-paced, professional setting, with experience as a people manager3+ years of people management experienceOther QualificationsExperience managing and budgeting day-to-day workplace operationsProven ability in budget managementExceptional communication skills (verbal and written) and ability to work well with all levels in an organization – from front line employees, vendors and contractors through upper management stakeholders in a cross-functional matrix environmentEnergetic, enthusiastic, and positive personalitySolid understanding of computers and office technology troubleshootingProficient in MSOffice suite, Google Docs and Google DriveDemonstrated strong work ethicExperienced in team event planning and executionSelf-starter with the ability to work independently as well as in team situationsWillingness and ability to adapt to the rapid business and organizational changes that accompany a high-growth environmentWorkday Pay Transparency StatementThe annualized base salary ranges for the primary location and any additional locations are listed below. Workday pay ranges vary based on work location. As a part of the total compensation package, this role may be eligible for the Workday Bonus Plan or a role-specific commission/bonus, as well as annual refresh stock grants.
