Job Requisition ID #23WD73719Position OverviewYou will provide administrative support to the senior leaders in the organization (Senior Directors, VPs, SVPs, Executives) by being a liaison, handling details of a confidential and important nature to internal and external contacts. Requires in-depth knowledge of company operations and procedures. Exercise judgment to address potential problems and ensure a functioning office. You will report to the Senior Director of Business Operations.Location: San FranciscoResponsibilitiesCOORDINATION ACTIVITIES:Manage calendars. Schedule, plans, and coordinates events and meetings onsite and offsite, including research and preparation of meeting materials. Coordinate meeting logistics including location and rates. Ensure meeting attendees have appropriate information including directions and maps. Prepare agendas, take notes and distribute meeting minutes and presentations. May track action items and communicate statusPrepare exec-ready materials for promoting portfolio reviews. Research would include gathering project status, risks, important metrics, takeaways, from the Business Operations teamSupport cross-team development activities such as improving collaboration, and recognition programsMake business travel arrangements and manage and communicate travel itineraries. May manage travel accounts including mileage cards. Work with Corporate Travel to schedule and change itineraries. May research and obtain travel visas. In some cases, may travel with executiveMaintain positive working relationships with staff, internal departments and outside parties, including high-level sensitive contacts. Manage information flow within and outside of division or team. May serve as liaison between corporate office(s) by disseminating pieces and distributing materialsMinimum QualificationsAt least 5 years of administrative or executive assistant experienceMaintain confidential material related to employees and company operations. Coordinate new hire processing. Track and record performance on division or team goals. May track expenditures related to employee rewards programs or coordinate and compile feedback for performance reviewsMay manage executive's email accounts, including monitoring email and responding on behalf of executive. Prioritize emails for follow up by executive. May direct emails to other parties for response. Monitor phones and voicemail systems and answers or re-directs calls. Escalates issues that need manager's immediate attentionMay maintain email aliases, distribution lists and shared directories, including maintaining permissions. Manage information by organizing and tracking on databases to combine and produce reportsMonitor purchasing software system notifications and approves on behalf of executive if appropriate. Work with Accounts Payable to ensure department bills are paid promptly. May serve as a point person for departmental purchases, including PC tracking and overall asset management. May manage budget and departmental costs, including reclassificationsDraft letters, memos and emails. May work with Facilities department to coordinate space planning for division or teamCreate presentations and maintain organization charts. For U.S.-based roles, we expect a starting base salary between $72,800 and $117,700. Offers are based on the candidate’s experience and geographic location, and may exceed this range.
